This was biting a lot at one plant.
So much that we ended up changing most of the component parts to stock.
It fixed a lot of cost issues.

In some orders, stock parts also helped reduce the overall number of POs & jobs required. But it loses the links between source and demand.
Kind of a pain to track things down sometimes now.

This can bite you if you occasionally for some reason accept those parts into stock and subsequently ship them, so you have to have some process in place to monitor that as well.. The only thing that prevents costs from being applied to the job after shipment is closing the job. If someone were to apply labor or issue material that may have been missed before shipment, after the part ships, those costs can be seen on the invoice detail table under the JCLbrUnitCost, JCBurUnitCost, etc.. These fields simply house all job costs at the time of job close, which may differ from costs rolled up at time of shipment which is housed in the LbrUnitCost, BurUnitCost etc.. So Vantage does do a good job in my opinion of catching up so to speak, and it does mitigate timing issues somewhat by directing those 'late coming costs' to the correct COS accounts.

Our experience is labor is stuck (though adjusting via Job Adjustments is an option if it's a costing issue, as opposed to a payroll issue). Material is not stuck, it can still be returned post Capture.

We ran weekly for a while a couple years ago, but found trying to keep up on accurate labor made it unrealistic to rely on a weekly capture. We now do it as part of month end after a full audit by HR on labor.

Because youre posting to the g/l count out adjusting any labor transactions against jobs that get hit with this.. though I cant say for sure because I haven't verified, you may also want to be sure if that applies to materials issued to a job as well, can you adjust or reverse those after they are posted.. Labor for certain is stuck as is. What are you trying to accomplish by doing this?

Our experience is labor is stuck (though adjusting via Job Adjustments is an option if it's a costing issue, as opposed to a payroll issue). Material is not stuck, it can still be returned post Capture.

We ran weekly for a while a couple years ago, but found trying to keep up on accurate labor made it unrealistic to rely on a weekly capture. We now do it as part of month end after a full audit by HR on labor.

We are aware that by running the capture the labor will show as posted and labor changes in the time and expense entry will not be permitted, that is exactly what we want to accomplish. We want to be able to post our payroll and not allow any changes in the time and expense entry after we have posted payroll. We felt that if a change was needed, we could do it through job adjustments and it would leave a better trail to follow. Are there any other issues we should be aware of that you can think of?

Our experience is labor is stuck (though adjusting via Job Adjustments is an option if it's a costing issue, as opposed to a payroll issue). Material is not stuck, it can still be returned post Capture.

We ran weekly for a while a couple years ago, but found trying to keep up on accurate labor made it unrealistic to rely on a weekly capture. We now do it as part of month end after a full audit by HR on labor.

That's one thing I always thought was a little odd..putting capture cos/wip in the general ops folder of production management... not because of logical categorical reasons...which there are, but because of general security reasons..just one more discrete security change you have to chase down...put it in the gen ledger area where it belongs..

I have to disagree Rob or ask you to elaborate. I have found no evidence that Inventory/WIP Reconciliation is anything but a crystal report. (Remember in 6.1 it was a progress report.)You state that running it "keeps margins and WIP values fairly current.." What evidence have you seen that running the Inventory/WIP Reconciliation Report effects the accuracy of your data?

However, the report is great if you are a manufacturer that ships from inventory since the costs are recoreded in the inventory table when the invoice is created based on the part costs at the time of shipment.

Suggestions? We are a mixed mode plant and need a single report that shows profitability for make direct and inventory shipments. (Rob you shared you custom Gross Margin report with me but it suffers the same problem in that the inventory tables don't have the job cost information until COS capture has been ran at month end.)

My observations on that extended to a job costing project that extended back to early 2009 (when I knew more than I do now about vantage) when we were chasing down gross margins on jobs shipped daily. Our goal for the project was to ensure margins were 95% accurate at the time of shipment. We thought at the time through the various scenarios that we ran and procedures we established that WIP/Rec had an impact on that. We did achieve our goal, but perhaps it was all the procedures and processes we put in place and had nothing to do with running Inv/WIP rec..

Now two years later could I recall conversations and remember those details..likely not. I wouldn't be shocked to find out I'm wrong on that, maybe someone in our accounting dept would love to know because its still a part of their daily procedure lol! So you won't find me interested in engaging you on this topic... you win. I'd have to step myself back through the whole thing, something in my memory tells me we kept seeing variances in the margin reports from when we did run before invoicing, and when we didn't.. maybe something else was going on and we were in error on cause and effect...
If you have some more recent data from your investigations I'll be happy to shamelessly plagiarize your efforts and apply that knowledge here to save ourselves the wasted time of running that report daily.. :)

I ended up writing my own Excel file (via ODBC) to do this based on JobAsmbl.Ttl* table/fields, it wasn't pretty but it works well. I imagine the same could be done for Crystal, my Excel file has a lot more in it than would be necessary for a simple daily/weekly GM report.

I am curious on the discussion of the effects of capturing without posting to GL on the invoice table. We'll test ourselves, but Rob & yourself seem to have very different experiences here.

So what do people use as a good way to review Gross Margin on a daily or weekly basis? The Sales Gross Margin report (Accounts Receivable / Reports / Sales Gross Margin) for a make direct environment does not write the costs in the inventory table until you run the Capture COS/WIP process which means that the report is useless as a real time reporting tool and can only be used after I have captured costs for the prior month. However, sales & production need to be reviewing profitability on a daily and at a minimum a weekly basis. However, the report is great if you are a manufacturer that ships from inventory since the costs are recoreded in the inventory table when the invoice is created based on the part costs at the time of shipment.

Suggestions? We are a mixed mode plant and need a single report that shows profitability for make direct and inventory shipments. (Rob you shared you custom Gross Margin report with me but it suffers the same problem in that the inventory tables don't have the job cost information until COS capture has been ran at month end.)

Im curious about what you mean regarding items shipped from inventory.. you mentioned that the inventory tables don't have job cost information. This isn't my area of expertise, but I like this area so im interested. What tables specifically are you speaking of? For our shop, being average costing for inventory value, average cost of inventory is recalculated every time you receive inventory from a job (I believe, correct me if im wrong on that one, id hate to have that presumption wrong). Are you standard cost for inventory? Fundamentally theres a complete disconnect when shipping from inventory with respects to job costing. If you ship from inventory the cost is your average or standard cost based on the accumulated costs from the job at the time of receipt. Here we control that by placing strict rules on how a job gets receipted to inventory. As I was writing this I had an epiphany...

I went to my test environment, picked a job that had all its operations completed, materials issued and had not been shipped. This was a make direct job to a sales order. I shipped said job complete, opened the part in transaction history tracker and noted that for that transaction the columns Amount, Mtl Unit Cost, Lbr Unit Cost, Bur Unit Cost were all zero... doing nothing else, I ran WIP rec against that job, I then simply refreshed the transaction history tracker, and those columns were then populated with costs... so..that was were my perception of something is going on when you run that report..or some damn programmer is able to find a random temp table and is at the very least populating part tran records from this..remember..its our test environment.. hard to think it could be something else.. what are your thoughts...I can send you screen shots offline if you are interested.
