I’m trying to find out how to mark a quote as a loss. It seems as though we’ve never utilized this properly and now that I’ve dug into it, I can’t seem to find a way to make the fields updatable. They are always greyed out and the task gets added automatically when creating a Quote.
The tasks are tied to the territory, salespersons, and authorized users. I’d make sure your user is both a salesperson for that territory and if not the primary, then an authorized user for the primary.
So, our salespeople are traveling reps, but we set up quotes in-house with about 4 people creating them, they would never be the salespeople for those quotes. Does this mean we’d need to significantly change the way we are quoting? Or possibly add the 4 people as salespeople and assign them to every territory and to the Role code?
On your task set, in the Milestone Tab, you set who can complete the state in the Required Role and then enable: Win, Lose, or Workflow Complete.
You need to make sure the Win Allowed/Loss Allowed fields are selected in your task set milestones. I don’t believe these are retroactive in that you can check them and go back to quotes already created and win or lose them.
So my settings look correct here, but people in the sales required code still can’t change those settings, but they’ve never been an authorized user, I’ll try some tests and see what happens. I just made myself an authorized user for myself and created a quote, worked fine.
so far it seems like I can only change these settings on my own quote, I cannot change them on a quote that was already created and assigned to another salesperson, even if I change the salesperson to myself.
Ok, so the answer is to make the people actually entering the quotes, authorized users for every salesperson. However, does anyone know why the task will automatically be set to win once a sales order is created from the quote but it won’t set to loss if it is expired? Would this need to be a BPM that needs to be created to handle this, or is there already logic to handle automatically setting to loss?
I am not sure about this one, but if you get an answer that would be cool to know.

I ran that and didn’t notice any change. I’m guessing I’ll need to make a BPM to change their status to lose once that process is run.
I believe you will need a BPM as depending on the company, an expired quote is not considered a loss. Some people don’t want an expired quote marked as a loss as it is not “officially” a loss because the customer never responded.
You could always just change your reports to put expired quotes in the lost column.
