Time and Attendance

Hi,

We also use Vantage Data Collection and ADP. We collect all work hours
thru Data Collection. We also enter all Holidays, vacations,
bereavement and all other time into vantage (including all paid and
unpaid time) so all employee time is accounted for (this is probably
overkill but our president wanted all time accounted for and this seemed
like the best way to give him the reports he wanted).

We then use MS Access to take all pay hours data and convert it to the
payroll file that gets sent to ADP. ADP had sent us a sample file and
it was pretty easy to mimic. It is all set-up through a macro, so for
our Payroll clerk, once she does all the labor edits for the 2-week
period, its one mouse click for the data to get converted and the file
to get exported and emailed to the ADP contact.

We've been using this for about 3 years without any problems at all.

issue comes up after that: how to take the actual hours worked data
and mix in time off so that we have an overall picture on which to pay
people.

We have ADP Payroll and HRPerspectives. I think that we should be
able to extract the labordtl data and plug it into ADP. Has anyone
done that?

We have found that Vantage does not seem to have a Time and
Attendance data collection interface other than the Labour data
collection interface. We would like to collect this data at the plant
door (as we do now with proximity cards) and feed Vantage this data.

I would like to know how other companies are collecting Time and
Attendance data, within Vantage or with another product.

Who's not, and the details of where/what an employee is working on.) I
think it works really well. You could have your people clock right in at
the door, and then start their activity when they get to their
work area if you want, we choose to have them clock in/out right at the work
center, as it avoids all the lines at the start and end of the
shifts.

Yes, we are exporting our payroll hours to ADP. We are using the ADP web based system - which probably makes upgrading to 8.x seem like a pleasant dream. Actually it is finally stablizing.

A long time ago when we had ADP the first time (before using Paychex) we bought the Custom Programming ADP Export module but ended up never using it due to our bizzare union driven overtime rules. But after switching back to ADP our new CFO mandated that I develop an export. This is for 6.1 so it is Report Builder. To get the OT correct I have an array for all the holiday dates and then vacation is entered as indirect time via labor edit with a special type code ("VAC"). For the past 3-4 months it has worked really well and cuts the time required to get data into ADP down to udner 1/2 hour per week. There are several exceptions reports then they run the export that creates a CSV file for ADP.

The RB probably won't help if you are on 8.x but knowing it "can" be done is half the battle. It would probably be fairly easy (depending on OT complexity) with Access or Crystal.

Although we have the Payroll module, we are not paying directly out of
Vantage and use Ceridian for check processing instead. I have a BAQ
setup to pull the data that gets forwarded to Ceridian. The file uses
the PayrollDate and EmpNum from the LaborHed; LaborHrs, IndirectCode,
ExpenseCode and JobNum from LaborDtl; and the DiffRate (shift
differential) from JCShift. This file is manually reviewed before
sending to Ceridian.

You will want to have someone compare the Labor Detail total Labor Hours
with the Pay Hours from Labor Header to make sure all time worked is
accounted for in a Job or Indirect (or idle time if that's allowed in
your system). I have some ODBC Access reports showing all employees
(whether clocked in or not) by department, by shift to make this easier
to review than the stock Labor Edit report. We have the supervisors
review these reports for all their direct reports everyday and also have
them enter indirect benefit time (sick, vacation, LWOP, etc) in Labor
Entry as needed.
