Running Capture COS/WIP Activity

It takes me 10 or 15 minutes usually. I run it once a month on the
first day of the month. We are on Vantage 6.1. We have everyone
working almost as usual. We do not check a packing slip as shipped nor
do we post any parts to finished good but other than that everyone does
what everyone normally does....

OK, I've got 2 replies that say it takes about 5 minutes (Thanks
Chris and Todd), anyone else want to chime in on how long the Capture
takes? Anyone else anywhere near 45 minutes? If not, does anyone
have an idea why ours would be taking so long?

Coincidentally it is often run at the same time as our Production
Control manager has everyone (sales, purchasing, shipping, etc...)
not doing anything so she can run her RB and CR reports. About a
half hour period first thing in the morning. Once in awhile she
comes in on the weekend if the 1st falls then and runs the reports so
then the capture is not run in the quiet period.

Brian, we are on 6.1 as well.



1. The process takes me at the max 5 minutes.
2. I run the capture once, a few days after month end. This past
month, I was behind and ran it on the 9th when I was here.
3. Normally I would have run the capture later in the afternoon
(about 4:30pm) a few days after month end. I believe only one time - I
received a call from someone out in receiving that I had locked him up.
Our shipping department is usually done by 4:30pm or right around there.

Actually, I'm wondering why people wait until month end to do a
capture/post. That seems to be the old month end batch processing
model, rather than a real time model. We post frequently during the
month and have no problems. We can then see our financials during the
month and monitor progress and problems throughout the month. It gives
us time to research and correct issues as they come up.

Don't your costs coming from Accounts Payable lag behind a week or two due to A/P Invoices coming in a week or so after the parts are actually received? Or do you use costs based off from your PO's and Receipts?

I am with Barbara...it seams old school to process the next day of
the new month; forcing production, shipping, receiving, etc to "not
process" anything until the capture is complete.

Additionally, we have issues with Finance constantly running the
Inventory/WIP Reconciliation report throughout the month. And as the
month progresses, the larger this report becomes and it is a 'heavy'
processing report.

There is a way to:
A. Lesson the amount of time at month end it takes to reconcile
B. Shorten the amount of time the capture takes to run
C. More real-time Financials

In the Capture COS/WIP function, there is a checkbox:
Post to General Ledger

This controls the actual posting to GL. If you select the Post to
General Ledger check box and do not select the Post Cost of Sales/MFG
Variance check box, most transactions will be posted to GL. The only
transactions that are not posted are shipments from WIP (MFG-CUS) and
variances (MFG-VAR).

We are not there yet because we do not have the discipline it takes
to ensure Labor and Receiving are done timely and accurately as
Vantage uses the Transaction date not System date. So if you
allow 'back-dating', this causes issues if the related jobs straddle
month-end (which 99.9% of ours do).
