Requisitions

My company is getting ready to start using purchase requisitions (v. 4.0).
Anybody have comments on how useful and/or problematic this is. Comments on
version 5.0 are welcome as well since we are moving that direction soon.

About a week ago I asked for comments from people using Vantage's
requisitions for purchasing.

I got ZERO response from the group!!

Are you guys telling me that NOBODY out there is using requisitions?????????

Or are you guys all ignoring me????? I'm starting to get paranoid here!!

We have the Purchasing RFQ module. We send out many RFQ's and originally
tried using the module, but decided it was basically a pain in the neck to
use. For me, the most annoying thing about it was that if you entered an
RFQ and then wanted to add a material or subcontract item from a job, it
pulled in ALL of the job's Materials and subcontract items. Then, we had to
go in and manually delete the hundred or so we didn't need to be left with
the few that we did need. That was enough for us not to use it, so I can't
really comment on the other problems it may have.

That being said, I was a the NEVUG meeting yesterday (Northeast Vantage
Users Group) and the Epicor Rep. did a little presentation of 5.1 changes
and it seemed like there were some significant changes to the RFQ module.
My above issue being one of them. What he said was that starting in 5.1, in
the job or quote you will check the materials/Subcontracting you want RFQ's
for and only those will be pulled in. Also, when you put in the vendor
responses, it would update the estimates on the job or quote. Also, it has
become easier to make the RFQ into a PO or into a PO Request.

Is anyone controlling purchase requisitions within Vantage using the
'Requisitions' function under purchasing?

We have always used paper for this, and recently switched to an electronic
form. But, really, we should use vantage for this. I'm trying to learn
this and am a little confused. I have figured out how to set actions,
assign 'approvers' and use the dispatch list. However, I'm not sure how to
turn my 'approved' requisition into a Purchase Order. I created an action
called 'Create PO' with 'Send to Purchasing' checked. Upon approval, the
approval person selects, 'creat PO' as the next action, but then it just
stops and I can't figure out what's wrong. If I generate suggestions, it
does not show up and it doesn't' seem to shop up anywhere. If anyone's
using this and knows what I'm missing, please let me know.

we looked at using it but vetoed it because we do not use purchasing
requisitions.
Setting up that approval heirarchy is also kind of a pain. May the force be
with you.

We have been using Requisitions within Vantage for a about a year.
The only suggestion I have may be to review the Buyer you have
selected when reviewing the Purchase Suggestions. If you want you can
give me a call (519-627-6078 x 317 ) and I would be more than happy
to compare parameters with you.

Yes you can create PO's from the approved requisition. Upon approval they

edit the suggestion when it reaches the purchasing queue. So if
description (or whatever is entered into the part number field) is
inaccurate or incorrect you have to live with it. So you can send out
PO's that don't look very 'professional'. The people in our organization
who use the req's aren't very good spellers!

We've been using requisitions for a couple of months now...the set up part
of it is really important...for example, I used 01, 02, 03 in the
descriptions of the actions so that they would fall in the order they needed
to be seen. Otherwise, it seems to work pretty well. Best part is having a
record of who asked for what and why.

It isn't really for parts that are in the part master.

Our buyers haven't had any problems changing the po's though, so there may
be something in the buyer set-up that you need to double-check.

Tech support sent me a detailed document about reqs, but I don't know if I
still have it. I'll look and see.
