Request Entry and PO Approval/Reject by Email

Hi Epicor Community, do you guys have any example on how to create bpm on Request Entry and PO approve/reject via email?

This is sore spot for me. Back when Epicor was giving us their sales pitch and live demos, they demonstrated approving PO’s via emails.

Once we purchased, the functionality wasn’t there “out of the box” (we were quickly learning that a LOT of what they showed in their sales demos were customized pieces). So, yeah, they showed what the system COULD do… if you had the time & $$ to invest. Like going to the dealer and they show you the Mustang and then delivering the Taurus, you know? This was one of those instances.

We then requested this functionality quoted and because we were cloud, they stated it would be a full developmental project as they had never done it with a cloud customer before (which was hard to believe). They stated (at the time) that it would require us to host a middleware, or subscribe to another cloud product like Jitterbit or Workato.

The cloud environment could send emails, but I think it needed a middleware to receive the email response to the Kinetic REST API.

At this point we just dropped it as it wasn’t a high-priority “need”. Just a big disappointment that they would sell us on a feature that wasn’t even developed and available. That was back in 2022… so perhaps they’ve figure that out by now.

The easiest solution out of the box without any middleware etc. would be to send an email to the Approver with a hyperlink to the PO Approvals form in the browser - then on approve/reject send an email to the buyer

Same thing happened to our company I think. I’ve been told several times by management that they were told Epicor could do X or do Y. I have no idea how much was a misleading sales man and how much was management not understanding the difference between “Yes you can customize Epicor to do that” and “Yes, Epicor does that”.

Customize doesn’t mean much to somebody who hasn’t done it. It sounds like checking a few check boxes and tweaking some settings, not having someone real programming skills write code…

At Insights 2022, we announced Automation Studio. During that announcement, we showed how you can use Automation Studio (an extra price option) to do many different automations. One of the automations was using emails for PO Approval. We have “template recipes” to do this, and you can substitute your logos, and change text in the emails to your needs.
Yes, it is an extra-cost option, but it is very easy to implement. The original version of it took about 20 minutes to implement… then we spent several hours making it “look pretty” with logos and buttons… THAT is what we turned into a template that users can use themselves when implementing Automation Studio.
