If you purchase direct the act of receiving the parts automatically issues the part to the job. Physically moving the parts is a different story all together.
Once parts are issued to jobs it is kept in that big ole bucket called WIP. Unfortunately the system does nothing to ‘track’ the parts physically on the floor once in WIP.
At one company we had to put parts in big containers or carts and labeled the carts/containers with the Job #. That was the only way to identify stuff located
everywhere. Basically we had to create staging areas near certain departs so the guys knew that work was in their area. If you have small areas for staging it does not help at all.

So if you purchase direct, how do you locate and move the materials in your system?

We are trying to understand how to get parts to show up on new po suggestions. There are suggestions in there, however there are requirement for jobs in the system that are not showing up with the existing ones. The part in question (among others) is set as a stock part, although we don't have a max and min (they are at 0 currently) because we don't want them put onto the shelf, but if there are orders for multiple jobs we want them to show up as one PO suggestion. It does show up in the time phase suggestion. Can someone run through the criteria that needs to be set for parts to show up on the PO suggestions?
If you have multiple jobs and want less PO Suggestions you will want to look at Days of supply. If you put let’s say 5 days in this field then you are telling
the system all requirements that fall within this time frame add them up and give me 1 suggestion. If I remember correctly the Days of Supply uses business days on calendar days, but read up on it…
As for the jobs not showing the PO Suggestions, first, is this box checked on the part in part entry(Generate PO Suggestions)? Second, do you relate the materials
to an operation and schedule your jobs? And then what version are you on? I don’t remember if there are bugs in this area and what version those bugs were in….

The days of supply sounds great, but if we are not using MRP do we have that option?
The box is checked on the generate P.O. suggestions, that was one of the things that I checked.
I also checked the assigned to an operation. That was something I saw was a problem yesterday and I went through all of our jobs and assigned operations to parts and assemblies.
As I was writing this, I realized that all of these changes that I made the the jobs is probably what is making this not work, so I went and did and generated the PO suggestions and selected regenerative, instead of the net change and then this part that I was looking at showed up.
We'll be doing more checking to make sure things are working correctly, but it looks like that's why stuff wasn't showing up.
Yep that is right once you make the changes you have to do at the least a net change….glad to see it helped. Um I do not think you need to have MRP for days
of supply to work, but I could be wrong. I’d try it in a test environment and play around a bit.

So I take back what I said about the orders being added the the PO suggestions. It added stuff from a different job, but the job that I am looking at still does not have the suggestions that we need. The hardest part about this is that I do not know why some jobs work fine and others do not.
I found another flag. The make direct flag was checked for these purchase parts. That keeps it off of the demand for the system and doesn't put it onto the PO suggestions. When I uncheck that flag the parts get put on.

Any other things that I should check?

I'm just looking for a specific part number that I know should be on the job. The problem that I have with the buy direct is that it makes a PO suggestion for every time it's used. So if I have stainless steel for a job, it will be used in a bunch of different places, and each one would make a PO suggestion. I want to make it so it groups the requirements together.
The other issue that I have, is that when it's buy direct, the part is immediately issued to the job when it's received. It may not be used for a month or more. We are not able to locate the parts in the system with bin locations. We can make the first issue to a location, but if it gets moved around, there is no move wip inventory to just move it from one location to another. (that I have found anyways). It wants you to move it to a different operation. I know that there is nothing in the handhelds that can do it. If I receive it to inventory, I can move it wherever and then it get's backflushed when the operation is completed.
It almost sounds as if your guys may not be doing the necessary transactions when they move raw materials around the plant. There is a way to move material from
one bin to another in the system. Its Inventory Transfer. Once you have received material into stock you move material from one location to another using this screen.
The other issue is knowing where materials are during the WIP process. You will want the AMM module to do this. As you move a traveler from one area to another
the system will force you to show the movement.
But to answer the very first issue you make, not getting the PO Suggestions, it sounds like you want to buy to stock and then issue to your job once you start
modifying the material. Therefore you do not want to buy direct. But if you want the system to show which job on the actual suggestion you have to buy direct. What Time phase will do is if you buy to stock it will show you what the stock will be used for
(whether it is a job or Sales Order) and what amount of material will be left once consumed and on what date based on the dates the system schedules. Yes here it will show that info but PO Suggestion will not. If you use Day of Supply PO Suggestion will
group all of the suggestion in the Days of Supply time frame and make one suggestion. But you will never know which jobs in PO Suggestion, only with Time phase will it show that detail. You will have to use both to figure out what is going on.
I hope that answers your question, but if not of course please let us know.

Like you said it's the WIP that's an issue for us. The inventory makes sense and we already use the inventory transfer like you suggest. We have AMM (although I'm sure we aren't using it right yet :-) and we see the materials that move in WIP and that works well when the material is truly WIP and is moving.
There is a difference when purchased components get treated as wip though. We are not JIT for these items so they may sit on the shelf and it would be good to have them located in the correct places. I would think that they would have a simple screen like transfer inventory that would do the same thing for WIP so that we could move it when needed. An example of where we need that is after our paint process, the parts go into the yard for short term storage before assembly while all of the parts get painted. We have the system gridded out to located them in the yard, and we get them in the right locations by using the request move flag on the quantity completions. However, we can't figure out how to move them into assembly. The move WIP screen wants us to move from one operation to the next, but we aren't doing that. The wip operation is assembly, and doesn't change when we change bins. But it makes you move it from one operation to the next.
So that's the whole reason that aren't purchasing direct on a lot of parts that we probably could/should be. Motors, gearboxes, bearings etc. all could be purchased direct and the fact that they have the job number on the PO would be helpful. But I can't move them from bin to bin once they get received because they are considered WIP
Below are my notes from when I was looking into the same thing - the following are prerequisites for a material to come up in Generate Purchase Suggestions:
Cut
off date is a day in the future >= the JobMtl.ReqDate
for each Job Material you want to generate suggestions for.
The
job MUST be scheduled - this sets a value to JobMtl.ReqDate.
Recommend use FORWARD scheduling, starting at current date if you intend to
order materials straight away for fastest delivery. PO due dates will be set by
the JobMtl.LeadTime field
Part.TypeCode must be = P (Parts must be of
type ‘Purchased’) AND PartPlant.TypeCode must be
= P
JobMtl.BuyIt must be TRUE (lPurchase direct
flag) for this to happen Part.Non-stock
must be TRUE(part must have non-stock flag set) AND PartPlant.Non-stock must be TRUE
