Physical Inventory

 
We're using tags, and we do the same variance report.  With the past 2 inventories we've 0 out the existing inventory, ran a physical report on anything int the system with a location, and manually entered the qty as per tags returned. Nightmare!  
 We'd like to only inventory active items.  I believe cycle counting is the way we want to go for this.  I need to update out ABC codes.  Is that possible if items have activity?

We use handhelds, scanning 2D barcodes in a customized cycle count screen.
After scanning enverything, we post our cycle count transactions blindly and then review the transactions against the reason code we used to post the variances.
We then clean up any missed scans using a quantity adjustment and the same cycle count reason code.
Our customized cycle count screen will let us know if we are double scanning a tag, in which case we log these manually to be confirmed and fixed.

I forgot about how many customizations we've built into barcode scanning and cycle counting. We can process about 10K lots in one day with one person.
We cycle count everything monthly which is why we never need to do a full physical inventory.

            If yes, then there is no real difference.
            Cycle counting comes about when you have a lot of part#’s to count – I have 35,000 in stock at any time.
            Since counting them all in one day ( a P.I.) is a MASSIVE and costly job, you go to cycle counting in order to do some each day.
            Also, very importantly, you classify parts as ABC ( DEF?) based on usage-and-cost. You only count the cheap parts once a year or maybe once every few years. This saves a lot of money. You can do the cycle counts during slow days as a farther way to reduce cost.
            Also, you count the A parts 3-4 times a year since these are the parts that must have a correct balance.
            Final important idea is “What will the Auditors accept” – cycle counts have to be very well documented to make them happy; although, if you do it in one day, they would not care.
 
            Of course there are also many considerations specific to your company. Are you counting diamonds or coal, do your parts get stolen, how good is your paperwork, do parts go bad, are you Santa Clause so you have a big ‘seasonal” problem.

Maybe you guys can help me understand... Why do you need to perform a "Physical Inventory" in Epicor?
As it relates to Epicor, isn't a physical inventory the same as a full cycle count with no movement?

Performing a full physical inventory allows you to adjust the quantities when you enter the tags(Papers with the item counts on them after counting how much in stock.) If you would like I wrote up a procedure for performing full physical inventory. It was done for 9.05.700b, not sure how different that is from 606a.

9.05.702 BAQ to Crystal - Using a Dynamic parameter filed but has a limit and is cutting of records.

All,

Simple BAQ to Crystal, Sales by City, State & Country.

I’m using a Dynamic Parameter field in Crystal for City.

As in print preview and show a list of all cities in the report that I can select from.

It only reports about 70 cities for me A thru N.

I can google the topic for a register hack for crystal on MaxRowsetRecords setting.

Low by default for speed, set it high and print previews will take longer. (OK I get it)

But trying the hack doesn’t have any effect.

Anyone been down this road with BAQ reports to crystal?

Approx how many records are in your XML dataset?

Simple BAQ to Crystal, Sales by City, State & Country.

I’m using a Dynamic Parameter field in Crystal for City.

As in print preview and show a list of all cities in the report that I can select from.

It only reports about 70 cities for me A thru N.

I can google the topic for a register hack for crystal on MaxRowsetRecords setting.

Low by default for speed, set it high and print previews will take longer. (OK I get it)

But trying the hack doesn’t have any effect.

Anyone been down this road with BAQ reports to crystal?

It’s not set some ware else in the registry.

Crystal Developer works but not crystal viewer.

Yes I rebooted.

I’ve never seen that hack not work.  Did you possibly do a registry search and see if it’s elsewhere in your registry?  And not to ask the obvious, but you rebooted after the registry change?

I've been exchanging email with another EUG user about this.  We both had used the LOV (List of Values) hack with our Vantage reports, but the Epicor 9 reports didn't successfully transition.  We've both tried a bunch of different things with no success.  We're both using Crystal 2011 Developer and the CR 2010 SP3 Runtime.

 

His notes:

This is what Epicor sent
me.  I found the same info just searching online.  This did
work when I ran this report within CR 2011; however, it did not work
when running through Epicor using the CR runtime.  I found this same
question raised in an SAP support discussion and the tech said the
functionality was overlooked in the 2008 version of the runtime.  That was
the end of the discussion, so I don’t know if it was addressed in latter
versions of the runtime.

Help, here is how to set the LOV value.

 

Because the number of
items in a list of values (LOV) can be very large, numbering in the hundreds or
thousands, Crystal Reports handles these long LOVs by retrieving smaller
batches of values at a time.

 

Crystal Reports displays a
single batch of LOVs, and provides two options to the user to control the list:
the batch number and a simple text filter for limiting the number of items in
the list.

 

The default number of
items per batch retrieved in a long LOV is 200; however, you can change this
default number.

 

Changing the number of
items in a long LOV There are two methods for changing the number of items in a
long LOVs.

 

When prompting the user,
Crystal Reports retrieves the long LOV batch size from this Windows registry
location:

HKEY_CURRENT_USER\Software\Business
Objects\Suite 12.0\Crystal Reports\ReportView

 

If it does not already
exist, create the DWord value called PromptingLOVBatchSize, and set the value to
the number of items in a batch.

 

Note: Be careful to select
Decimal as the base value before entering the batch size.

 

You can create or change a
parameter in the Tomcat configuration file to set the batch size for long LOVs.
Open the following file:

{CR_install_folder}/Tomcat/webapps/CrystalReports/WEB-INF/web.xml

 

If it does not already
exist, create this parameter:

We're planning a physical inventory at the end of the year.  We don't want to 0 out our existing inventory, just adjust what's in the system now.  Is there a way a physical can be done this way?  We haven't had much luck in the past when we 0 it out.

Performing a full physical inventory allows you to adjust the quantities when you enter the tags(Papers with the item counts on them after counting how much in stock.) If you would like I wrote up a procedure for performing full physical inventory. It was done for 9.05.700b, not sure how different that is from 606a.

If clarification is needed let me know, it is still fresh in my mind as we just did our annual Full Physical last week.

Full Physical Inventory Count Procedure.

1. In Material Management>Inventory Management>General Operations select Initialize Physical Inventory.

a. In the physical inventory screen make sure you filter and select the main warehouse only.

b. Once the warehouse is selected then process the request. (The inventory count procedure has begun)

2. Now in the same are select Count Cycle Maintenance.

a. From the dropdown under warehouse select Main Warehouse and the check box “Full Physical”. This will pull in all the parts that are on the physical count.

3. Now go to the actions screen and select generate tags.

a. Then select print tags and select whatever method you prefer. (Crystal or SSRS)

b. Once tags are printed and you are ready to go.

4. Go to the actions again and select “Start Count Sequence” This is when the count sequence really starts.

5. Go out and count and fill out the tags.

6. When you are ready to update the quantity return to the computer and go to Material Management>Inventory Management>General Operations and enter the “Count Tag Entry”

a. IN this screen hit the search button and select the Main Warehouse and hit ok.

7. Once the warehouse is brought in you can put in the tag number, enter your count and initials and hit save, then enter the next tag and so on.

8. Once counts are entered there is a two-step procedure to post them.

a. Return to the Count Cycle Maintenance window and pull in the physical count on the Main Warehouse again.

i. Go to actions menu and run a Count Variance Calculation/Report. This displays each part and what its count was before and after the inventory.

1. In the print screen for this report you have the option to only show parts that are counted, or out of variance etc. Print the report for “Out of Variance” and it will show you which tags have not been entered and which ones are out of tolerance on the count. (Generally the tag not being entered is the main reason for the Physical Inventory not completing when counts are posted.) If all tags are entered and there are some that are out of tolerance refer to Step 9 otherwise go to the next step and you will be finished.

ii. Now you can go to the actions menu again and select “Post Counts” and this will post the changed. (If everything posts you are done, the Physical Inventory Count closes itself)

9. If and only if you have counts entered that are out of tolerance then enter “Count Discrepancy Reason” located under Material Management>Inventory Management>General Operations.

a. Pull in your current “Physical Inventory”, find the items that are out of tolerance and assign a “Reason Code” to them. Once the codes are assigned hit “save” and close and refer back to step 8.ii. If a part that is out of tolerance will not let you post a “Reason Code” then there is an issue with the tag not being entered or not returned, return to “Count Tag Entry” and investigate.

Performing a full physical inventory allows you to adjust the quantities when you enter the tags(Papers with the item counts on them after counting how much in stock.) If you would like I wrote up a procedure for performing full physical inventory. It was done for 9.05.700b, not sure how different that is from 606a.

Doing the steps you posted 0 out the existing inventory.We do NOT want to 0 out the inventory, only adjust inventory we have. 
Is this possible with Physical or only in cycle counting?

Be careful, there is a bug in 702A that when posting it will create STK-STK transaction zeroing out counts if there are in multiple warehouses.  We just did physical and saw this happen to us but there were some parts that it did not affect even though they were in multiple warehouses.  It did not seem like there was a 100% time it did the exact same thing.

 

The is a known SCR 121271 but the fix is schedule for 703.  Epicor does has a fix so I would contacted then prior to do your physical.

If clarification is needed let me know, it is still fresh in my mind as we just did our annual Full Physical last week.

Full Physical Inventory Count Procedure.

1. In Material Management>Inventory Management>General Operations select Initialize Physical Inventory.

a. In the physical inventory screen make sure you filter and select the main warehouse only.

b. Once the warehouse is selected then process the request. (The inventory count procedure has begun)

2. Now in the same are select Count Cycle Maintenance.

a. From the dropdown under warehouse select Main Warehouse and the check box “Full Physical”. This will pull in all the parts that are on the physical count.

3. Now go to the actions screen and select generate tags.

a. Then select print tags and select whatever method you prefer. (Crystal or SSRS)

b. Once tags are printed and you are ready to go.

4. Go to the actions again and select “Start Count Sequence” This is when the count sequence really starts.

5. Go out and count and fill out the tags.

6. When you are ready to update the quantity return to the computer and go to Material Management>Inventory Management>General Operations and enter the “Count Tag Entry”

a. IN this screen hit the search button and select the Main Warehouse and hit ok.

7. Once the warehouse is brought in you can put in the tag number, enter your count and initials and hit save, then enter the next tag and so on.

8. Once counts are entered there is a two-step procedure to post them.

a. Return to the Count Cycle Maintenance window and pull in the physical count on the Main Warehouse again.

i. Go to actions menu and run a Count Variance Calculation/Report. This displays each part and what its count was before and after the inventory.

1. In the print screen for this report you have the option to only show parts that are counted, or out of variance etc. Print the report for “Out of Variance” and it will show you which tags have not been entered and which ones are out of tolerance on the count. (Generally the tag not being entered is the main reason for the Physical Inventory not completing when counts are posted.) If all tags are entered and there are some that are out of tolerance refer to Step 9 otherwise go to the next step and you will be finished.

ii. Now you can go to the actions menu again and select “Post Counts” and this will post the changed. (If everything posts you are done, the Physical Inventory Count closes itself)

9. If and only if you have counts entered that are out of tolerance then enter “Count Discrepancy Reason” located under Material Management>Inventory Management>General Operations.

a. Pull in your current “Physical Inventory”, find the items that are out of tolerance and assign a “Reason Code” to them. Once the codes are assigned hit “save” and close and refer back to step 8.ii. If a part that is out of tolerance will not let you post a “Reason Code” then there is an issue with the tag not being entered or not returned, return to “Count Tag Entry” and investigate.

            I do not think E9 can do that.

            You could just do a BAQ using PartQty file ( which list qty in each bin):

                                    Sort by bin#

                                    Paste in to Excel

                                    Print out (have page numbers to be sure you get them all back)

                                    Counters mark up the print out.

                        Need to decide who and how to get the correction, since counters will count 487 and E9 = 349 correction =??? Plus or minus?)

                                    Keypunch adjustments into E9. ( or keypunch into Excell – calculate correction – SORT by Part# ( so Bin moves will be together) -  keypunch correction into E9)

            Create a INV2014 reason code to use for easy reporting on total change.

            Watch out for Date-entered vs Date-transaction—count on 12/31/13, punch on 1/2/14 -  affects G\L balances. That is, back-date the entry to 12/31.

Performing a full physical inventory allows you to adjust the quantities when you enter the tags(Papers with the item counts on them after counting how much in stock.) If you would like I wrote up a procedure for performing full physical inventory. It was done for 9.05.700b, not sure how different that is from 606a.

We're planning a physical inventory at the end of the year. We don't want to 0 out our existing inventory, just adjust what's in the system now. Is there a way a physical can be done this way? We haven't had much luck in the past when we 0 it out.

Doing the steps you posted 0 out the existing inventory.We do NOT want to 0 out the inventory, only adjust inventory we have.

As it relates to Epicor, isn't a physical inventory the same as a full cycle count with no movement?

Good Day Scott:

 

            By “full cycle count with no movement” do you mean that you count all the parts in one day ( or a few days)?

            If yes, then there is no real difference.

            Cycle counting comes about when you have a lot of part#’s to count – I have 35,000 in stock at any time.

            Since counting them all in one day ( a P.I.) is a MASSIVE and costly job, you go to cycle counting in order to do some each day.

            Also, very importantly, you classify parts as ABC ( DEF?) based on usage-and-cost. You only count the cheap parts once a year or maybe once every few years. This saves a lot of money. You can do the cycle counts during slow days as a farther way to reduce cost.

            Also, you count the A parts 3-4 times a year since these are the parts that must have a correct balance.

            Final important idea is “What will the Auditors accept” – cycle counts have to be very well documented to make them happy; although, if you do it in one day, they would not care.

 

            Of course there are also many considerations specific to your company. Are you counting diamonds or coal, do your parts get stolen, how good is your paperwork, do parts go bad, are you Santa Clause so you have a big ‘seasonal” problem.
