Hi Gary,

We ship from the job and then close the job later, but even closed jobs
show up on the WIP. We post the WIP every month, but the report just
keeps getting bigger. I think we are up to almost 200 pages now.

Once the job has been fully received to stock or full shipped you should
close the job. (Otherwise it will purge the cost prior to capturing a
Cost of Sale of any shipments)

Any closed jobs will then purge there cost and job listing from the Work
in Process report upon running capture COS/WIP

We are on Vantage 8.00.810A. We upgraded to this current version in
May 2007 and we are having trouble with jobs that show up as 'Phantom
Purge WIP to COS'. We need to know why they are showing up in this way
and how we can fix these before running the WIP capture at month end.
Also, there are a few jobs that continue to show up even after running
the capture and have shown up since April 2007.

year ago, we have found that the WIP report gets larger and larger every

subcontract cost). Or if someone enters a Labor transaction
(labor/burden cost) for a date prior to the last Capture/Post.

As soon as we limited the amount of back dating...we see very minimal
Phantom transactions on the Inventory/WIP Report.

We only run the capture/post once a month -- at month end. We wait
until all receipts are entered for the last day of the month and all A/R
and A/P transactions are completed, as well as all labor entries are
done. Along with understanding why we are getting these types of
transactions, the important information is how to fix them before
running the capture/post. Can anyone help with what they do to correct
these each month before running the capture/post?

If you run Capture COS/WIP before you Close a Job and there are still
costs in the Job, then it will hit Phantom Variance. UnClose the
affected Jobs, ReClose the Jobs, then run Capture COS/WIP again and the
Phantom Variance will be corrected. - Monte Tomelrin

About all you can do is to make sure all the steps are done before
shipping or posting to stock. All items received all material issued
all labor posted all dmr answered all invoices posted. If everything is
done and all parts are accounted for Vantage should take all the cost
with the parts that have shipped or posted to storage. If there is $
left on the job you would just have to figure out what it is coming from
before you could figure out what to do about it.

close the job. (Otherwise it will purge the cost prior to capturing a
Cost of Sale of any shipments)

Any closed jobs will then purge there cost and job listing from the Work
in Process report upon running capture COS/WIP

Thank you all for your responses. I don't actually do the WIP process
each month so I'm passing on the info from someone else.

1. She does run the Capture COS/WIP Activity every month, but she
only clicks on the second check box because accounting does not want the
data posted to the General Ledger.

2. We can't always close the job before we invoice because we have to
wait until we receive the subcontract invoices so sometimes the job will
ship and be invoiced in one month and then closed in the next month or
maybe even the month after.

3. I just ran a query on the JobHead table and we have almost 500
jobs that are closed, yet the WIP Cleared field is not turned on.

If Accounting does not want data to be posted to the GL then I would
turn off the Inventory / GL interface. Then, you could run the COS/WIP
Capture and it would clean up your jobs. If you don't want to post to
GL then the inventory interface shouldn't be turned on.

Though, be aware that some reflexes change when you turn off the GL
interface.

Hi Gary,

We ship from the job and then close the job later, but even closed jobs
show up on the WIP. We post the WIP every month, but the report just
keeps getting bigger. I think we are up to almost 200 pages now.

Once the job has been fully received to stock or full shipped you should
close the job. (Otherwise it will purge the cost prior to capturing a
Cost of Sale of any shipments)

Any closed jobs will then purge there cost and job listing from the Work
in Process report upon running capture COS/WIP
