Part Number Schemes

We created intelligent part numbers for raw mtl and parts.

It works great for us and I like it much better than the random or
reserve-block conventions.

Some of the details that really helped us...

1. Use alpha-numeric - more options/ less likely to get locked in to
duplicates.
2. Use a tree branch structure.
3. Keep identifiers and short as possible by using no more than one
or two digits to represent a trait/characteristic of the part.
4. We have tolerances down to the 16th, so I created letter codes
that represent decimals, gauges and fractions. ex.
A= 16ga
B= 14ga
C= 12ga
D= 11ga
E= 10ga
F= 7ga
G= 1/16"
H= 1/8"... all the way to
W= 15/16"
This allows you to dimension parts to the 16th and you only have to
use one digit for any decimal or fraction. (I did not use o or I
because they look like zero and one) X designates custom parts.

5. Group your parts into commoneuses/characteristics and define the
digits ahead of time as much as possible.


Raw mtl:
STH6108P is Steel, Tread, 1/8", 60" wide x 108 1/2" long
SC3288 is steel, channel, 3" @3.5# x 288" long
SBFK2240 is steel, bar, flat, 1/4" x 2" x 240"
AUD22300 is alum, tubing,2"x2"x300" ("T" is a very common first
letter so I went with "U" to designate tubing)

Hardware and purchased parts I just use the vendors part #. That
works well too except I have one vendor that I cannot stand there
part naming convention - all the numbers look alike even though the
part may be completely different.

Manufactured parts are the tough ones.

ST=Step
GC=gooseneck part
FT=floor, tread
FS=floor, smooth
TS=tailskirt
HL=header leg

FTWSH10838T = Floor, treadplate, western, steel, 1/8" x 108" long x
38 3/4" wide.

the first part of the number designates the identity/grouping of the
parts, then the model it is used on, then the material, then the
dimensioning.

This has worked very well.

As far as those people who give you resistance because they have
memorized SOME of the existing numbers - replace them with new
people. In order to get better at what you do as a company, you will
have to change. As a matter of fact - you should always be improving
some process. Don't let your workers natural tendancy to resist
change alter what needs to happen for the company to grow. Otherwise
you are inhibiting the growth of the future and not doing your job.
(and those people will be gone in a couple years anyways)

Ok, maybe that's extreme. Put those people to pushing brooms.

Just a point of reference:

In the "Dark Ages", before computers, all of our part numbers were alpha
numeric and descriptive in nature. It helped when you were looking for
somthing in the confines of WIP and Stock Room when all records were manual.

When God invented the affordable computer, we changed to a numeric part
number system but kept the descriptive part number as the part description.

During the days of Classic we wrote querie reports sorting by description
for us old fossils that did not want to change.

With Vantage and its various browsers, we can still find what we need using
search words. Who needs descriptive part numbers when the description is in
full view.

Just my opinion.

Now type in each format 500 times ... Which do you prefer ?

Wouldn't it be much easier to have formatted item descriptions and then sort
by item description if you need to find an item number ?

I know, I know, to each his own ... I always felt sorry for the little old
ladies we used to have in our keypunch department 20 years ago. 8 hrs / day
of long part numbers being typed in over and over and over and over ...

Our original system (pre-Classic) only allowed for a 10 digit part number.
We had a brand new, fresh out of school Industrial Engineer design a number
system. He loved 64ths. Actually, now that we have 20 digits, it seems
like a lot. We retained the 64ths and expanded the alloy portion. Used to
be the UNS code letter and 2 alphas.

However you go, keep in mind the Vantage Alpha sort order. I find it very
useful to find the next size larger just 1 step down my list. Often, I can
substitute a larger size as long as the alloy doesn't change. Therefore
alloys first then sizes.

Our original system (pre-Classic) only allowed for a 10 digit part number.
We had a brand new, fresh out of school Industrial Engineer design a number
system. He loved 64ths. Actually, now that we have 20 digits, it seems
like a lot. We retained the 64ths and expanded the alloy portion. Used to
be the UNS code letter and 2 alphas.

However you go, keep in mind the Vantage Alpha sort order. I find it very
useful to find the next size larger just 1 step down my list. Often, I can
substitute a larger size as long as the alloy doesn't change. Therefore
alloys first then sizes.

may be able to help you a little since we implemented in 95 also. We are a
job shop that use both direct purchase and process through inventory. Maybe

Is there any way to standardize the parts? That is usually a good place to
start. Are there specific types of parts that you can use as classes and
standardize the names within each class? You can also standardize by usage,
i.e. all welding materials get a prefix of wm, cleaning supplies - cs, etc.

Another approach is using vendor id + vendor part num. The only problem is
comparing parts from different vendors.

anyone have a part numbering standard that they can share with us.

I would appreciate any insights to part number that we can get from
other people prior to implementing our system.

We are going through all of the planning meetings now. We have been
through Knowledge camp, but not any detailed training.

One thing that we can't seem to agree on is part numbers. We are
trying to decide on whether to use Intelligent Part numbers or not?
If we do use Intelligent Part numbers, then we can't agree on how to
format them. Our current part numbers are simply random numbers.
However, our employees have started to memorize these numbers. They
place great importance on these numbers. We are getting lots of push
back when we discuss changing our current part numbers.

I am in I.T. and don't really have a working knowledge of the benefits
of Part numbers. To me, they shouldn't really matter if you can
search by other meaningful information in the part master.

I'm interested in hearing from other vantage users. Do you use
intelligent part numbers? How do you format them? Can you share the
pros and cons of your part number formats?

IMHO, you should NOT trade in part numbers that people already know for an
"intelligent" part system. So-called intelligent part number systems ALWAYS
break down. You will make a part number longer than necessary; add extraneous
characters like dashes or, gulp, spaces that take longer to enter. Non-numeric
part numbers can confused zeros with ohs and ZZZZ and twos can look similar in
some folks handwriting.

Most unintelligent part number systems try to categorize items by product line
or maybe materials. Eventually, you start to (wisely) share parts across lines
to save on inventory and you start using 'AB-' parts in 'CD-' products. Also,
new materials arrive that can go into one category or another and the system
breaks down. In twenty years of doing MRP systems, I've never seen an
intelligent part number system keep up with real life changes.

For goodness sake, slap the people upside their heads who want to change part
numbers in the middle of implementation. It may sound like the right time but
you're going to have enough on your plate without throwing that into the mix.

Did I mention that intelligent part numbering systems are a bad idea (IMHO)?

P.S. An improvement on a completely numeric system (which is easy to barcode
if you use UPC), is one that has a check digit that is a modulus of some
number added to the end. This prevents a single digit change giving another
valid part number.

all of our customers part numbers as well as our own parts (mostly
subassemblies of our customers products).

3 Weeks ago, we switched all of our part numbers (~6500 parts) from
"intelligent" to sequentially assigned. With the flexibility of 8.0, we've
created additional fields and custom searches to help with the lost "data"
by no longer having the smartness built into the numbers.

I should add that we could never have done this change had we not been on
8.0--the entire change was programmed by our fabulous IT department, which
would have been nearly impossible on 6.1. We're still dealing with a little
clean-up, but it was a pretty smooth transition.

Our old numbers were 9 digits. The first digit was the type of part (1=raw
material, 2=consumable, 3=purchased component, 4=packaging,
5=tooling/fixtures, 6=customer supplied materials, 7=manufactured
subassembly, 8=finished good, 9=finished good medical device). The next 3
digits were a customer code (who are we making the part for). The last 5
digits were sequentially assigned.

That system has been binding our hands since I started here 6 years ago.
The problems:

1. Parts change from purchased to manufactured, finished good to
subassembly, customer supplied to raw material, etc.--any time a part
changed status, we were forced to pull a new part number even though it was
the same stupid part. It's easy to lose a lot of history this way.

2. Customers get bought and sold--or we'd start making the part for one
division of a customer, then transferred to another division. We'd have 3
part numbers on the same drawing that had 3 different customer codes
depending on the timeline of the creation of the part numbers.

3. No ability to tabulate--especially unhelpful for many of our own
internal drawings when only simple things differentiate between the parts,
like color or length.

4. Could not use a PDM or other vaulting system for CAD drawings because
parts did not share the same base number, but were located on the same
drawing.

Our new system is 7 digits-3 digit tab (i.e. 1002650-001) and it is
beautiful! We match our tab to our customer's tab, if applicable, and all
the parts on the same drawing (or specification) are assigned the same base
number. It sounds pretty logical, I know, but it is amazing how long it
took us to get to this point!

Of course, we're in transition, so there's a lot of belly-aching--but we
gained some huge benefits by changing--the biggest is vaulting our prints.
The second biggest benefit is going from 6500 unique part numbers to about
3000 unique base numbers with tabs--much cleaner and simpler!

You have quite eloquently elaborated many of the consequences of violating
one of the basic tenets of relational database design: you never assign
semantic value to a primary key. The reason is really quite simple; the
semantic value can change over time and a primary key should not. The
consequences of attempting to replace a primary key globally can be
staggering and a failure to be absolutely comprehensive can violate the
integrity of the system to the point of being unrecoverable.



For this and the reasons Mark elaborated quite well below, intelligent
numbering is at some point going to collapse under the weight of its own
maintenance requirements and ultimately result in an unmaintainable state.
In the long run, intelligent numbering simply isn't.

IMHO it depends on your business and to what degree of intelligence you
intend to build into the part number. Obviously the example you gave was in
retrospect badly flawed for how you do business. It is a cost benefit
trade-off that you need to evaluate in light of your business. We
manufacture both standard and special products. Most specials are based on
standard products.



For example a 12103 is a

12 Series Number, specifying a particular bearing design

1 Taper type, Morse

03 Taper size, 3 Morse



For example a 12216 is a

12 Series

2 Taper type, Jarno

16 Taper size, 16 Jarno



A special version of a 12103 would be a 12103-E9989. The E9989 is a
sequential number with no intelligence. The next one would be an E9990.



It works for us. It is not perfect and the addition of new products
resulted in some discrepancies but if I have a customer on the phone and he
gives me a part number at least I know a lot about what he has without a
drawing in front of me. I realize that it is a very simple example and a
very simple part number. The point is don't dismiss an intelligent part
number out of hand but evaluate it in light of your business model.

We use intelligent part numbers for identifying Raw Extruded material.
I was not a huge fan of this at first, but have grown to love it in the
last 7 years of use. Sorting by part number and identifying 6061 from
304 stock is great. Descriptions in general tend not to follow rules
which is a downside to non-intelligent numbers. Similar sized material
gets grouped together simply due to part numbers being similar. This
gives great visibility into the possibly using one size material in lieu
of another. Part numbers are easier to fit on screens & reports.
Therefore, intelligent part numbers can easily tell a story without a
ton of words.



These are just a few of my favorite things in regards to intelligent
part numbers.

To answer how we format our Raw Extruded Material: 6061T6XR00250X05000

6061 is a 4 digit indication of the material type

T6X is a 3 digit indication of material process (notice the X is a place holder). If I had it to do over, I would make it 4 -5 characters.

R is a single digit representing the shape of the material

00250 is the thickness of the material. The '.' is assumed after the first two digits. This would be ¼" round.

X in this position simply means 'by'

05000 is the width of the material which follows the rule above ( 5" )



From there, all the raw material is dimensionally tracked for the lengths (Another whole topic).

One time only parts, I would not bother. We have about 6 people creating parts. This is roughly 1500 different part numbers. It sounds like you are mainly referring to finished goods. In order to expedite the implementation process, auto assigned numbers sound like a benefit for you.
