Or course, the success of any software package, or process is in direct
proportion to the diligence of the parties involved. Even the best
software tool or process fails if the parties involved don’t use the
tool or worse use it intermittently. The “oh I forgot” or “I’ll do

Your best low-tech solution may be to just setup a network drive that

concerned have access to.

Setup one directory per quote ... such as ...?

With sub directories for each type of document or revision

\emails\ ( converted to word docs ? )
\fax\ ( scanned to pdf ? )
\snail-mail\ ( scanned to pdf ? )

etc.

One thing you may want to look at is a HP scan to pdf box. Off the top
of
my head I don't recall the actual name of this product but it's
basically a
scanner / PC combo that allows NON-TECHNICAL people to dump a stack of
paper
into the hopper - hit go - and then type in an email address as the
target.
So anyone can scan documents and then email them to themselves or ???
who
would then save the PDF to the target quote directory.

In my mind just finding / configuring a central repository for the
different
types of communications is the real issue. Decent naming conventions
for
folders and documents would come in second.

management and collaboration, I can highly recommend you to take a look at
www.groove.net Their free version is doing everything for us that we
need....

Also Vantage project tracker with document links to Todds suggestion could
be a great way togo since vantage basically has all your quote, sales, job
info. We are using Project Tracker for new products. We aren't linking every
fax and email but its not bad either.

Or course, the success of any software package, or process is in direct
proportion to the diligence of the parties involved. Even the best
software tool or process fails if the parties involved don’t use the
tool or worse use it intermittently. The “oh I forgot” or “I’ll do
it later” has successfully killed many a useful tool.

Your best low-tech solution may be to just setup a network drive that
all
concerned have access to.

Setup one directory per quote ... such as ...?

J:\Quote-34567-ABC-Mfg

With sub directories for each type of document or revision

\call-log\( word-doc )
\drawings\part-123-R1.dwg
\emails\ ( converted to word docs ? )
\fax\ ( scanned to pdf ? )
\snail-mail\ ( scanned to pdf ? )
\sub-contract-quotes\ ....

etc.

One thing you may want to look at is a HP scan to pdf box. Off the top
of
my head I don't recall the actual name of this product but it's
basically a
scanner / PC combo that allows NON-TECHNICAL people to dump a stack of
paper
into the hopper - hit go - and then type in an email address as the
target.
So anyone can scan documents and then email them to themselves or ???
who
would then save the PDF to the target quote directory.

In my mind just finding / configuring a central repository for the
different
types of communications is the real issue. Decent naming conventions
for
folders and documents would come in second.

The president of my company asked me to ask the group what they use for
Project
Management software. He's looking for something that will track/log all
aspects
of a project from quote through completion. He's not mainly looking for
the
Ghant type charting software but rather tracking-
Who said what and to whom
All correspondence - email, fax, snail mail, etc.
Notes regarding rev level changes
Quotes/correspondence from outside vendors relating to the project
Internal discussions/notes regarding the project
Anything else he might think of as our needs and wants change

It would be nice if the software would be capable of organizing this
info
into
some logical fashion so if someone is looking for, say notes regarding
Widget
Rev C, we'd be able to locate if without searching through the entire
Widget
project.

Any recommendations? Is Document Management powerful enough or
appropriate
for
this use?
