MS-Exchange: To block emails from a specific person to a specific person.

Phase 1: Initial Setup � Create a �System� folder to hold all external
addresses to be blocked.
� Click on "Site" folder at the root level. This is located
underneath the main company folder and contains the �RECIPIENTS� folder.
� From menu bar click on �FILE / NEW OTHER � RECIPIENTS CONTAINER�
� Enter the folder name as XXSYS and the directory as XXSYS and
click on OK
Note: These could be in the �Standard� recipients folder. It makes it
easier to find them if you put them in a separate folder.
Phase 2: Add blocks as required.
Step 1: Setup the �External� internet address and block traffic from the
internal email address.
� Click on XXSYS folder to add a new system level recipient.
� From menu bar click on �FILE / NEW CUSTOM RECIPIENT�
� Specify address type is �INTERNET� and click OK.
� Enter the external email address you want to block. Then
highlight it, press Control-C, and then click OK.
� Use Control-V to paste the same email address into the �DISPLAY�
and �ALIAS� fields and type the person�s name of the internal address we are
blocking into the �TITLE� field for documentation.
� Click on the �DELIVERY RESTRICTIONS� tab.
� Under �REJECT MESSAGES FROM� click on LIST and then click on
MODIFY.
� Add the internal email name to the �REJECT MESSAGES FROM� column
and click ok
� Click APPLY and OK to complete this transaction.
Step 2: Update the �Internal� mail address to block traffic from the
outside internet email address.
� Click on the �RECIPIENTS� file to access the standard company
email list.
� Double click on the internal mailbox/account you want to lock
down.
� Click on the �DELIVERY RESTRICTIONS� tab.
� Under �REJECT MESSAGES FROM� click on LIST and then click on
MODIFY.
� Change the �SHOW NAMES FROM� dialog box to point to the �XXSYS �
RECIPIENTS� folder.
� Add the external address to the �RESTRICT MESSAGES FROM� column
and click OK.
� Click APPLY and OK to complete this transaction.
Note: The only �External� email address that will show in the XXSYS folder
are the new ones you have just entered. Once you complete Step 3 they will
be hidden from this step.
Step 3: Hide the �External� internet email address so that it does not show
to Outlook users as a valid email address.
� Click on the �XXSYS� folder to access the system recipients.
� Double click on the external mailbox/account you created in
STEP-1.
� Click on the �ADVANCED� tab.
� Click ON �HIDE FROM ADDRESS BOOK�
� Click APPLY and OK to complete this transaction.
Note: If you want to see the hidden email addresses in the XXSYS folder
click on the XXSYS folder and, then from the menu bar, click on �VIEW /
HIDDEN RECIPIENTS�
