OT- Best practices for Backup

Dina,

The workstations backups are independent of the server backups. 2 different
software products. One is V2i Server - the other V2i Desktop (upgraded and
debugged version of Drive Image - it's what Drive Image should have been all
along). I keep images of all workstations (stored on the workstation on a
separate HD) in case I need to get one back up in a big hurry, or if I'm
doing anything risky I can bring it back if I hose it, or I may use this for
cloning workstations.

If by "synchronize" you mean, how do I schedule them, the workstations need
to be configured and scheduled at the workstations. Each workstation backs
up independent of the rest. The servers are all run from one console on one
of the servers. I'm not sure, but I think that if I had the disk space
somewhere and the bandwidth, I could load the V2i Server software on all the
workstations and back them up the same way I do the servers. The way I'm
doing it now works for what I need.

Emails are copied to server every night. My Documents folders are
redirected to server and synchronized so they're duplicated on the
workstations as well. Vantage db uses Progress live bup twice a day.
Powerquest V2i Desktop software runs on all workstations every night - bup
image of HD saved to 2nd HD on each workstation.

Powerquest V2i HardDrive-based backup system backs up all servers - backed
up to mirrored set with Promise hot-swap drive bay. One HD for each of 3
weekly bups - swapped on Fridays. One HD for each of 12 monthly bups -
swapped on the 4th Friday of the month. Weekly and Monthly bups include 2
Incremental bups each day Fri-Thu of all server drives except C-drive,
continuing all week - C-drives get full bup on the weekend. One offsite HD
- external USB HD - contains all server base backups copied to once per week
on Mon. HD's for seldom-used archival data storage - copied to external USB
HD (reusable USB case) when needed. HD's stored in fire-proof media
cabinet. Tape drive still functional - in case need something from before
this system was installed.

Vantage:

Create separate backup files 3 times a day - different names - backup all 3
sets to tape nightly.

Email - create pst backup files - nightly to a different drive - backup
Exchange / pst files - weekly

Main file servers - nightly.

Tapes saved according to:

Daily tapes - 10 tapes in rotation
Weekly tapes - 10-15 tapes in rotation
Monthly tapes - 12 tapes in rotation
Yearly tapes - PERMENANT

Weekly tapes and all yearly/special-occasion tapes are stored in a vault.

Briefly:
2 weekday full backups sets (Mon-Fri) that run at 2am (after Vantage db backup at 1am).
On Fridays the Mon-Thur tapes go to a fireproof valult in a concrete tunnel beneath building.
On Monday's the Friday tape goes home with me -
On Tue. the older Friday tape comes back.
Tape on 1st of month is removed from cycle and saved as month-end
M/E tape from 24 months ago goes back into weekly cycles.
If a user frags a file they had better let me know within two weeks or hope it is on a monthly tape.

I backup all critical data folders on several servers including Exchange using Veritas BackupExec. So far it still fits on 1 DLT-IV tape. System files I don't backup because in a disaster that large I would be reloading from install media kept in the fireproof vault.

In near future I will be backing everything to a file server and taping from there including setting up user desktop backups to the file server (or NAS). An idea others have expressed here is backing up the Vantage DB multiple times per day, which I may adopt when NAS space allows.

Once upon a time when I was using 9-track reels I did incremental backups due to tape capacity and costs. Now tape cartirdges are big and fast enough that full backups are a lot more convenient when restoring.

Remember to backup the Vantage/Progress patch releases with the data
backups. If you ever need to restore the database, you may need to access it
with the corresponding Vantage/Progress release patch -- not the current
one.

I only keep one backup set - if it is important enough to backup it
belongs in the set. At midnight on Friday I perform a full backup.
Monday through Thursday I perform incremental backups (only files in the
backup set that have changed).

My backup set includes everything: we perform two online backups of the
Vantage database each day - both go on the backup; also, the Vantage
configuration files from the main Vantage directory, employee photos,
and the vb directory. In addition, the both the file server and web
server information is backed up. I'm sure I'm forgetting something -
our backup list is fairly extensive, but you get the idea.

I do backup configuration files but none of the operating system of any
of our machines. We use RAID on all of our servers. If we have a
failure that massive, I would probably rebuild the OS and restore the
files, anyway. The configurations are important to speed up the rebuild
process.

I suppose it depends on how many backup jobs you have. We have about 30 backup jobs where I work. I use the "Grandfather-Father-Son" standard backup method. It's a little more detailed than I will get into in this email, but search for it on the Internet and you will find some good info.

Anyway, we run daily backups every single day of the week. We send the tapes offsite for 7 days to a special company designed for offsite storage of backups.We only run weekly and monthly backups for critical applications or for those applications with a lot of data. The weekly backups get sent offsite for 7 days and the monthly backups get sent offsite from either 1 year to 10 years.

Unfortunately, our backup media ranges from DLTs, DATs, AITs, & Super DLTs. We are going to standardize our media sometime this year. In fact, I'm involving in a project to overhaul our entire backup system.

On a similar note, is anyone using After Imaging on their Vantage
Install. It was recommended to me by Tech Support, the instructions
look a bit involved, I'm wondering if I can get any pointers from
people who have done this.

Here is my back up schedule (thanks to Shirley - mine is based on hers from
a previous post)



Monday - Thursday Back up the main directories (I exclude certain
directories that are not accessed or changed on a daily basis - i.e. our
literature, shared apps, drivers)

Fridays - I have 4 tapes 1st, 2nd, 3rd and 4th Friday. I back up
everything. I rotate these tapes.

Monthly tapes - Last day of the month I backup everything - I overwrite this
the following month.

Year End - Obviously once a year - Never Recycle



Vantage - backs up twice a day to another drive - then I include those files
in my nightly back up.

Vantage Patch Levels and Reports - I have a CD with all my reports and patch
levels. I am responsible for making the reports - so it is my
responsibility to make a new CD if I change something.

PST Files - every day when the user closes outlook it automatically saves to
a network drive - I also include this into my nightly tapes.



I also made a calendar that says on what day - what tape I used. - I have
table of contents for each day saying what is backed up when and what tape.
This way if I would be on vacation there is no confusion.
