[Off Topic] Digital Senders

A high end Fujitsu scanner will automatically feed a stack of documents.
Using a simple Visual Basic applet it will allow you to put an e-mail
address and send it out as an e-mail. The Fujitsu scanner costs about $1200
to $1400 from CDW. This would be a little more economical if that is an
issue. Other wise you solution sounds really neat. Wish I had one. Also I
agree all documents, including AP invoices, customer PO and orders. They
would be easier to retrieve when you need to see the actual document and
would not be destroyed in a fire. With the low cost of CD ROM writers they
could be stored there at the end of the year. This would cut down on all
types of storage costs every year.

easily on our Servers. I would much prefer to have key documents like
contracts, etc stored electronically on our servers. In the event of a

all would not be lost. For approx $ 3,000 this looks like a very
economical
document management system.

you
can view the Administrator and User manuals for these products. These are
about 200 pages each in PDF format so you can easily print them out and
read

I thought about one of these but we are strung out in three different
buildings and the cost would have been too high. What I did was to install
three HP 6300C scanners with sheet feeders on them. The machines come with
scanner sharing software on them that works really great. We then use our
Fax software to attach these our faxes.

This looks like a very interesting concept. Perhaps it is my Scotch
heritage but $3K is a bit steep. My HP ScanJet 5300C (under $200) can do
the same functions via my PC. It has buttons for one touch email, fax,
print or file. The email version scans to PDF as an attachment on a new
message in Outlook. I don't have any of the compatible fax server systems
on our network so could not try that but I could send to a printer that
doubles as a fax and it faxes from there. The 5300C plus a $799 PC from
Dell (or wherever) would be under $1K and could be shared as easily as the
Digital Sender. I suppose there are some other bells and whistles that add
value but $2,000 worth?

Just some thoughts. I do really like the idea of scanning critical
documents and catching on system backup or burning to a CD.

Todd,

You don't need a dedicated PC. I run all three scanners on PC's that are
used by other people. The load is not noticeable. Also, if your PC's have
USB, you can set the scanner pretty far away from it.

heritage but $3K is a bit steep. My HP ScanJet 5300C (under $200) can do
the same functions via my PC. It has buttons for one touch email, fax,
print or file. The email version scans to PDF as an attachment on a new
message in Outlook. I don't have any of the compatible fax server systems
on our network so could not try that but I could send to a printer that
doubles as a fax and it faxes from there. The 5300C plus a $799 PC from
Dell (or wherever) would be under $1K and could be shared as easily as the
Digital Sender. I suppose there are some other bells and whistles that add
value but $2,000 worth?

Just some thoughts. I do really like the idea of scanning critical
documents and catching on system backup or burning to a CD.

I haven't been able to find anything on the market that looks this simple.
Scanning to Email via PDF with the simplicity of a fax machine. You can
also scan to PDF and forward to any number of PC's on your LAN.

This would be very handy for scanning and emailing. I'm also equally
intrigued with the idea of users being able to scan documents and save them
easily on our Servers. I would much prefer to have key documents like
contracts, etc stored electronically on our servers. In the event of a fire
all would not be lost. For approx $ 3,000 this looks like a very economical
document management system.

Also, if you goto HP's website and click your way through online support you
can view the Administrator and User manuals for these products. These are
about 200 pages each in PDF format so you can easily print them out and read
through to get a better idea of what these boxes can do. Check out

This is a box about the size of a fax machine that allows you to drop in
stack of up to 50 documents, enter an email address, and click send. It
scans the documents in B&W or Color, converts it to either a PDF or TIFF
image and then automatically emails it for you. You can also scan a
document and forward it to your PC for storage, etc.

I love the concept since it appears to be pretty much idiot proof.

So far it appears HP is the only company offering such a stand alone
product. I have also been reviewing Toshiba, Lanier, and Cannon copiers
that have a scan to email option for B&W only.

For the copiers this option adds about $ 5,000 to the purchase price of a
35-50 page/min copier. I have a quote for the HP9100C digital sender at
$
2,700 and I like the idea of having a separate box for this function since
it gives more options for placement.

Has anyone gone done this road yet ?

I'm wondering the same thing. If the 9100C had a price tag of about $ 1,000
each I'd REALLY be interested. As it is I'm trying to decide if the PC +
Scanner option yields a solution that is as idiot proof as running a typical
FAX machine. We have some users who are not terribly technical ...

Ok, so what is the routine for someone on your LAN who wants to email a
document vs someone who wants to scan a document to PDF and save it to their
network drive ?

You don't need a dedicated PC. I run all three scanners on PC's that are
used by other people. The load is not noticeable. Also, if your PC's have
USB, you can set the scanner pretty far away from it.

This looks like a very interesting concept. Perhaps it is my Scotch
heritage but $3K is a bit steep. My HP ScanJet 5300C (under $200) can do
the same functions via my PC. It has buttons for one touch email, fax,
print or file. The email version scans to PDF as an attachment on a new
message in Outlook. I don't have any of the compatible fax server systems
on our network so could not try that but I could send to a printer that
doubles as a fax and it faxes from there. The 5300C plus a $799 PC from
Dell (or wherever) would be under $1K and could be shared as easily as the
Digital Sender. I suppose there are some other bells and whistles that add
value but $2,000 worth?

Just some thoughts. I do really like the idea of scanning critical
documents and catching on system backup or burning to a CD.

I haven't been able to find anything on the market that looks this simple.
Scanning to Email via PDF with the simplicity of a fax machine. You can
also scan to PDF and forward to any number of PC's on your LAN.

This would be very handy for scanning and emailing. I'm also equally
intrigued with the idea of users being able to scan documents and save them
easily on our Servers. I would much prefer to have key documents like
contracts, etc stored electronically on our servers. In the event of a fire
all would not be lost. For approx $ 3,000 this looks like a very economical
document management system.

Also, if you goto HP's website and click your way through online support you
can view the Administrator and User manuals for these products. These are
about 200 pages each in PDF format so you can easily print them out and read
through to get a better idea of what these boxes can do. Check out

This is a box about the size of a fax machine that allows you to drop in
stack of up to 50 documents, enter an email address, and click send. It
scans the documents in B&W or Color, converts it to either a PDF or TIFF
image and then automatically emails it for you. You can also scan a
document and forward it to your PC for storage, etc.

I love the concept since it appears to be pretty much idiot proof.

So far it appears HP is the only company offering such a stand alone
product. I have also been reviewing Toshiba, Lanier, and Cannon copiers
that have a scan to email option for B&W only.

For the copiers this option adds about $ 5,000 to the purchase price of a
35-50 page/min copier. I have a quote for the HP9100C digital sender at
$
2,700 and I like the idea of having a separate box for this function since
it gives more options for placement.

Has anyone gone done this road yet ?

Ok, so what is the routine for someone on your LAN who wants to email a
document vs someone who wants to scan a document to PDF and save it to their

The scanner hooks to the (server) PC (Windows 98, NT40, 2000 Pro...) via
SCSI or USB in my case. The PC then runs a piece of software that then
shares the scanner. This software runs all the time and starts
automatically at system boot up. The only drawback is that a someone must
be logged onto this machine for the software to auto start. I have thought
about trying to set it up as a service but have not run into enough of a
problem that I have done anything yet.
The client PC's (again Windows 98, NT40, 2000 Pro...) have HP Remote
scanning software installed on them (comes with the scanner). When you set
up this remote scanning software, you just type in the name of the PC that
has the scanner attached to it. Once you do that, it will default to that
machine from now on.
You then set up the scanning software to scan the document in the manner you
want. For us we set it for black and white bitmap 300 dpi and 8 1/2 x 11.
When you scan the document(s) just give it a name and where to save it. If
you have multiple pages, it just adds a number onto the name starting with
the second page scanned.

We use FAX SR. for our fax software. You just start the software and attach
the scanned images to the fax. The software then converts them to the
correct format for faxing and out they go. One of the great things is you
can fax the same pages to 100's of people with only one input with multiple
phone numbers.

By the way. You can probably use other scanners as well. You can buy
document feeders that fit the older scanners for about 200 from CDW. You
don't need any buttons on the front of the scanner because the client PC
tells the scanner to do it's thing.

We have had an HP Digital Sender for more than three years now. It has
proven to be very useful for us. We paid about $1,200 at the time. It uses
LDAP to get our global address list from Exchange server. It scans multiple
pages. No duplexer, but it is smart enough to scan both sides of multiple
sheets of paper and keep it in order. It was made to be fast and keep the
mail attachments small. Our users have found other uses for this device
also.
