Migrating to 6.1 from 5.2

Thanks everyone so far for the great advise !

I had planned on using our testing server and going through the whole
upgrade process twice to make sure I have it down. Then with the
testing database, have our users enter live data to make sure our day to
day process are still valid. After a week of testing like this, take
the weekend and upgrade production (with backups just in case)

Keep the advise coming please !

Practice, practice, practice.

We just upgraded in September from 5.1 to 6.1 (which is actually 5.1 to 5.2
to 6.0 to 6.1 -- you can't skip any of them)...I practiced and timed how
long each step took so I would have a reasonable expectation when the actual
go-live happened. Depends so much on the servers, size of your database and
so on, but I have a new Dell PowerEdge w/4 gb RAM, a 1.3gb database (prior
to conversion). Go-live started at 4:45 am, users were on by 9:30 am.
Being on the west coast, I wanted Vantage Tech available if I did anything
stupid -- which, of course, I did.

When you practice, write everything down and follow the instructions
exactly...then, when there are things wrong (ex: in one set of instructions,
half of the stuff says VISTA instead of Vantage), fix it during practice,
then there is no reason to lose your head in the heat of battle.

Get used to using prorest and the other backup software for moving the
databases, get those paths mapped out on paper, that is almost always where
I lose my way.

Also, train, train, train...I'm not sure where the engineering workbench
came in (5.2?), but that was a big deal for us. I found that most of my
Crystal Forms converted with little fan-fare, and the RB guys took a whole
day, but I have a lot of them. If the tree-view in Jobs came at 6.0, that
will cause some consternation until users get used to it.

We are testing 6.0 right now (also started on 5.2 like you). Our Go Live
date was scheduled for October 1, but that didn't happen. Definitely run a
test first. Installation instructions have errors, and then there have been
quirky things along the way. If this had been live, we would have had
several days of downtime! We are looking at making the switch sometime in

I agree, Practice and document. Above all make sure you new server
has LOTS OF DISK SPACE. I went from 4.0 to 6.0 in a weekend on a 2.4 GB
db. During the conversion it grew to 2.7 GB. Two years later on 6.0 my
db just went over 7 GB and I'm preparing to add more disk space and move
my database.

I was never on 5.2 but the Engineering WorkBench is a BIG change in
the way things are done. The are also significant changes to get used to
in the Quoting area. I know I had complaints for several months about
our "downgrade" from the Engineering Dept. til they finally got up to
speed.

1. Try it out on a test server if possible - get benchmark times and also do it with support available - used to be they had "support weekends" for upgraders but no more since 8.0.

Have a checklist of important tasks - such as milestone backups
Here is a sample from my 5.2 --- 6.0 upgrade:

-Backup Vantage DB to \\Xtore - burn CD
-Check disk space on Vader - under 50% used?
-Read 6.0 installation guide - refresh memory
-Stop DB (all)
-Stop Admin Service (in Services)
-Install Progress 9.1D Patch - as needed
-Install Vantage 6.0
-Install latest 6.0 patch
-Copy Vantage DB (backup method) to new location
-Run database conversion
-Restore Vantage DB in new location (note: first delete any empty DB files the install created there)
-Start DB using Explorer tool
-Run Database Upgrade
-Turn ON crash protection
-Backup Database to \\fileserver - burn CD

Go through the documentation carefully (correct the obvious errors after thinking about them...do you really want a Vista folder?). Also, in this upgrade you get to "keep" Progress in the Epic52 folder and reference it there with mapped one drive letter (V: in our case) while installing 6.0/6.1 in the Epicor folder (in mfgsys60/mfgsys61 folders) with a second mapped drive (M: for us). There is a way to do it all in one by reinstalling Progress but that seemed far to dangerous and complicated for me so I opted for two drives and left Progress alone.

I am a firm believer in backup, backup, backup along the way. Several times deep into a weekend long process it has allowed me to step back and try again when a conversion process failed. Keep close watch on free disk space.

I can't recall but it seems to me I had considerable DB start issues because there were DB files created by 6.0/6.1 installs in the new db folders (under mfgsys60 and mfgsys61). The restores worked a lot better when this junk was cleared out before the restore from the older version.

Some steps can be done in advance like the Progress patch (if needed) and even with support available (like installing 6.0 itself). Then save the weekend or overnight for the DB copy and conversions.

6.0 will introduce more changes than 6.1 which is very transparent to end users. Make sure they are prepared for subtle differences. There are some nasty screen fonts to "fix" or users will scream. Schema changes (if I recall correctly) will change some field names for RB reports. I can't recall when the "OurQty" fields came into play. Certainly any RB report touching OrdHead or Part tables will display error messages every time you open them for editing due to field size changes RB can't handle. Just OK through them and ignore.

If you have edited the Crystal forms copy all the "standard" out of the box 6.1 versions to a seperate folder before copying your's into Userforms folder. The go through each modified report (after previewing data in Vantage tio populate DBFs) and reconnect to DB and verify in your modified version. Some field names have changed. If you have a test server a lot of this can be done in advance.

These are a few of the things I can still recall anyway.

Like Lydia, we went from 5.1 to 6.2 (July). We actually contracted with Epicor
to do the conversion for us twice. We sent them our 5.1 database and they sent
it back to us converted to 6.1. We didn't bother to try to learn all the steps
to go thru 5.2 and 6.0.

Our first conversion was so we could load it on our new server, test it and play
with it. We also used that time to check all our RB and Crystal reports for
compatibility. We saved the 6.1 reports in a new directory.

After several weeks of testing we were ready to go live. We coordinated the
timing of our second/final conversion with Epicor. We shutdown Vantage at noon
on a Friday and sent our 5.1 db to Epicor. They were ready and waiting for it.
By 4 PM we had it back all converted to 6.2. We spent that evening loading it
and doing our final testing. We picked a Friday to do this so in case of a
problem we had all weekend to solve it or go back to 5.1. We were done by 9 PM
with no problems and went home for the weekend!! Because of our testing ahead
of time, on Monday morning everyone was ready to go on 6.2. Had a couple of
little hiccups but nothing significant.

We are very pleased with the way we chose to do the conversion.

As everyone else is saying. Practice, test, retest, re-practice..... Get your
users on it and have them enter real live daily activity into it.

Practice, practice, practice.

We just upgraded in September from 5.1 to 6.1 (which is actually 5.1 to 5.2 to
6.0 to 6.1 -- you can't skip any of them)...I practiced and timed how long each
step took so I would have a reasonable expectation when the actual go-live
happened. Depends so much on the servers, size of your database and so on, but
I have a new Dell PowerEdge w/4 gb RAM, a 1.3gb database (prior to conversion).
Go-live started at 4:45 am, users were on by 9:30 am.
Being on the west coast, I wanted Vantage Tech available if I did anything
stupid -- which, of course, I did.

When you practice, write everything down and follow the instructions
exactly...then, when there are things wrong (ex: in one set of instructions,
half of the stuff says VISTA instead of Vantage), fix it during practice, then
there is no reason to lose your head in the heat of battle.

Get used to using prorest and the other backup software for moving the
databases, get those paths mapped out on paper, that is almost always where I
lose my way.

Also, train, train, train...I'm not sure where the engineering workbench came in
(5.2?), but that was a big deal for us. I found that most of my Crystal Forms
converted with little fan-fare, and the RB guys took a whole day, but I have a
lot of them. If the tree-view in Jobs came at 6.0, that will cause some
consternation until users get used to it.

Oh wise ones,

We have decided to make the jump from 5.2 to 6.1 soon. We have gotten CD's, etc
from Epicor. What I would like to know are any tips/traps for the whole
migration process. I have never upgraded Vantage before, we were on 5.2 when I
took the job.

Any advise, help would be appreciated.
