Late Material Transactions

Hello, Wondering if anyone can help with this issue. It is happening consistently and can’t figure out why. Having random late material issuance transactions occur on jobs that have been closed out and shipped for awhile. all issues were with jobs that are in 2023 and all new issuances are in 2024 well after we closed and shipped and they are always for a higher amount. We have investigated with our production team and there aren’t any reconciliations or adjustments being made by them even though the scans are coming from their workstations. Thoughts?

Check the system date. Maybe someone forward posted the transaction. As far as I know you can’t transact to a closed job.

Couple of questions
What module is in your screen shot?
Job 1829228-1-1, is it closed or just completed? Screen shot says complete but that could be for the material transaction. It looks like that Job/Material is being actively scheduled as it has a due date of 9/3/2024 in the screen shot.
Are any of your materials marked as “Backflush”? If so is there a labor transaction on 3/26/2024 to the operation that material is associated with?

the module is “job entry” just basic module I believe that we use to look at job specific details. The job is complete the Sales Order line is marked closed. so looking at module “job closing” I can see the job was not closed so I understand how a material transaction could still occur because until the job is closed you can still issue material for a nonconformance if you needed to issue more material. the material in question was issue not backflushed. so now my confusion is how we issued material a year later to a job so old. typically late issuances occur at most 2 months later. EX: if we have to redo a job and are short on material and have to wait for more to come in. So this helps answer part of my question but still need to investigate how we have a decent amount of jobs in our system that A) are not closed and B) how we issued material a year later.

How are you closing your jobs? Manual or Auto
If Auto check your Completion / Closing parameters to make sure they are doing what you want

Material issue
Start with that job and look in part transaction history for that material on that date to see who issued the material (you can also see this information in job tracker under the material transactions tab). See what they have to say

Ok found out that there is an issue with are auto closing… that’s why jobs were not closing properly. part transaction history only shows the 1 record from 2023 because we only made 1 part however we used a material to make that part(screenshot above) twice a year apart. internal team is going to look with IT team to see if something possible went wrong with our barcode creation that we use to scan and issue material to jobs on the floor. this was helpful kick start! appreciate the feedback and help. if we find the root cause will post
