ISO/Vantage Question

We are currently wrestling with this problem. We are subject to nuclear
codes which require our traveler to be a contolled document. For each copy
of the traveler we must track its location and rev at all times. We want
traveler info available to many people thru pc's but we want to disable
printing or editing. The activity log is nice but only helps AFTER a
potential problem has been found, (like an edit to a traveler). This could
cost us hundreds of thousands. Unfortunately the only method we see is to
severely limit the access to the traveler in vantage and create new reports
to supply the traveler info to the majority of users. I have been working
on building a traveler to mimic the vantage traveler. What a pain!!
Another idea we are discussing is using colored paper for all controlled
documents. This needs to meet customer approval. It also means locking up
the paper or using a dedicated printer in a secure location.

It would seem to me that the traveler is already a controlled document, in
that only MFG part revisions in vantage that have been approved by the
appropriate personell make it onto the job, and onto the traveler. Whenever
a traveler is printed, it is a representation of the current approved job
records in vantage.

However, once the traveler is on the floor, the data in vantage could
change, and the traveler is then not the current revision....

We are also ISO certified. Our blueprints are controlled documents but our
travelers are uncontrolled. We limit access to them and the person who
prints the traveler does initial it but it is not a controlled document in
comparison to the blueprints. This was enough to satisfy our auditor.

You have to be careful with the word Controlled. In a strict sense a
controlled document is tracked by revision level, with a change history, and
control of where it is at any given time. Under ISO Document Control you
don't want to have a previous revision in use after a newer revision has
been released.

Obviously, this could be difficult for a job traveler which is always
subject to change due to scheduling changes, different work center,
different job standard, etc. Just initialing the traveler was sufficient
for our auditor. But our prints, reference documents, ISO Manual, ISO
Procedures and Work Instructions are held to the higher standard. As
Patrick said, push for what makes the most sense for you.

In our case, customers required that our travelers be CONTROLLED. So I
just added a box at the bottom for the initials of whoever approved the
traveler. Also, you could use the Vantage user fields for this info-even
numeric fields would be ok as long as you have a list somewhere of what
number corresponds to what person. There is also that darn "Job Code"
that's down in the corner of the Job Header. I've never been able to come
up with a reliable scheme for using this code, so it is always blank, but
now that I think of it, we could use that for approvals.

It's a bug in the install process. I put xxx and xxx for the username and passwod, and leave the gateway path at c:\ . It doesn't hurt anything.

I believe if you use data collection icons, then you would need to enter a valid username and password for those specific client installs, but otherwise just enter bogus data. I think it puts the username and password in the .vtg file used for data collection only.

We use Vantage Document Management (AutoVue), we print the shop floor blue
print on the back of the traveler the traveler goes in a plastic sleeve.
With AutoVue I setup in FOOTERS for each desktop LEFT: Printed: %M/%D/%Y at
%H:%U, Center: (Department) RIGHT: (User Name), this has turned out to be
one of the most useful Document Tracking tools. The Date, Time, Dept and
User who printing the blueprint. In HEADER in CENTRAL we print %f which is
the filename and full path. This is kind of the equivalent to "APPROVED BY"
or "PREPARED BY:".

I control the blank form (Job Traveler, Sales Order, etc.) for change control of documents.

I keep on file the completed form (Same as above) for quality records purposes.

Hi,
For prepared by you could use the global alert for job engineered
status has changed and create a memo and it will put this in the memos. If
you make the person that prepares the traveler the person that needs to
approve the rev. it would work for both. Where I used to work we were
QS9000 certified and this worked for us. (We didn't print it out on the
traveler, it was the electronic version, but you could probably get the
memos to print on your job traveler if someone is being insistent.)

We are being strong armed by some of our customers to be ISO certified.
In doing some preliminary assesments I have been told that I need to add
"APPROVED BY:" and "PREPARED BY" information to the Job Travelers. I was
informed that this information should come from the person who approves the
revision. When I look at the traveler form, I do not see where this
information is available to me to add to the traveler.

I am sure this is just one of many issues I will have on this subject but
I can't help but believe that there are some of you out there that have been
through this process and can tell me what to do or at least send me down the
right path.

I appreciate any insite that you may be able to give me.

It would seem to me that the traveler is already a controlled document, in
that only MFG part revisions in vantage that have been approved by the
appropriate personell make it onto the job, and onto the traveler. Whenever
a traveler is printed, it is a representation of the current approved job
records in vantage.

However, once the traveler is on the floor, the data in vantage could
change, and the traveler is then not the current revision....

We are also ISO certified. Our blueprints are controlled documents but our
travelers are uncontrolled. We limit access to them and the person who
prints the traveler does initial it but it is not a controlled document in
comparison to the blueprints. This was enough to satisfy our auditor.

You have to be careful with the word Controlled. In a strict sense a
controlled document is tracked by revision level, with a change history, and
control of where it is at any given time. Under ISO Document Control you
don't want to have a previous revision in use after a newer revision has
been released.

Obviously, this could be difficult for a job traveler which is always
subject to change due to scheduling changes, different work center,
different job standard, etc. Just initialing the traveler was sufficient
for our auditor. But our prints, reference documents, ISO Manual, ISO
Procedures and Work Instructions are held to the higher standard. As
Patrick said, push for what makes the most sense for you.

In our case, customers required that our travelers be CONTROLLED. So I
just added a box at the bottom for the initials of whoever approved the
traveler. Also, you could use the Vantage user fields for this info-even
numeric fields would be ok as long as you have a list somewhere of what
number corresponds to what person. There is also that darn "Job Code"
that's down in the corner of the Job Header. I've never been able to come
up with a reliable scheme for using this code, so it is always blank, but
now that I think of it, we could use that for approvals.

We are ISO9002 and QS9000 certified. Adding details such as "APPROVED BY:"
and "PREPARED BY:" to the Job Traveler sound like someone is trying to make
it a CONTROLLED document. See if you can make it UNCONTROLLED. We generally
made our electronic media such as prints or job routings the MASTER or
CONTROLLED originals we said anything printed out on paper is uncontrolled.
There were a few exceptions of course. Such as we control two printed out
versions of our manual. The most important thing to remember when getting
certified is challenging all these little changes with "Does is make sense
from a business stand point for us to do this?"

Hey Colette,

During my days with Raytheon, we dealt with customers
who required certified processes for many components.
These certified products were mixed in with non-certified
products, but required the same sorts of manufacturing
steps and used the same raw materials.

Computerized information was easy to segregate by using
modified part numbers for the certified versions, but hard
copy documents such as travelers were a nightmare. After
much hair tearing we came to the conclusion that a simple
rubber stamp was the quickest way to produce an overlay for
signoff, tracking and data collection within the body of
the traveler.

Eventually we realized we could route such a traveler, again,
segregated by part number, through a software routine which
would print the equivalent of the rubber stamp as a sort of
overlaid image. This was an extra handling, but it gave me, as
manager, the reassurance that only authorized personnel could
produce documents which led to the certified processes.

It's a hard place to be when the company promotes its "agility"
and "responsiveness" while recruiting a customer, and then later
must establish "control" and "oversight" in a system which relies
on paper documents.
