Inventory Issue question

Some jobs (mostly maintenance) which we do not have a BOM developed for...
get created with a generic part called 'a'
non-nettable bin
no cost
this then allows us to issue additional materials to the job as needed.
We also only allow the inventory control folks to actually enter the 'issue'.

For the shop floor 'backflush' material is ok because quantity and units are already established but 'issue' is a bit dangerous.
We once had 'wire' costed by the spool yet someone issued by the foot. BIG ERROR.
Looked like millions in wire.

Is anyone doing this in Vantage? Can anyone offer a recommendation of an
efficient way of doing this?

Actually, the best way to do this is the one least likely to accepted,
and that is to unify your units of measure. Either pounds or square
feet through the whole system. It eliminates any confusion when
discussing issues. In my opinion, it should be what ever works best in
Vantage. Unfortunately, whoever will have to change will immediately
suffer convulsions at the thought of changing from "their" way.
(REALLY, I've seen it happen). My best suggestion, convince management,
get them to mandate it.

Additionally, we reserve issuing material as a function of inventory
control, never the operators. They are requested to advise the office
personnel of the amount used, then it gets issued by someone who knows what
they are doing in Vantage-land. Holding the issue of material does not
prevent us from releasing the job. We generally know what's here, and then
update Vantage with the information needed to put the costs on the job in
the correct manner.

We did what Shirley suggested. Our steel bar stock was purchased in pounds
but the shop thinks in inches per piece. When we changed to vantage we
changed all of the BOM to linear inches and standardized on that. The only
exception is pieces we buy already cut to length. They are in each,
purchased each, issued to the job as special purchased material.

Life should always be simple ...

Or, this is one time where I have to disagree.

The company I work for is a steel service center so we get to deal with raw
material unit of measure issues ALL day long.

Here's a list of the twisted issues we get into:

* We purchase tons of material at a per pound or per hundred weight price.
How many pc's are involved varies since 20 ft lengths can vary by a bit so
when we receive bundles we have to hand count them to find out how many pc's
we actually received. ( Can your shop floor min-wage employees count past
10? )

* We also purchase PC's of material at a per pound or per hundred weight
price. Think 14" thick plate 96 x 240 inches. We'll buy 3 pcs and get
billed for whatever they happen to weight. Lot's of trust going on with
this one ...

* Our customers are all over the map. They purchase along the following
lines:

*** Purchase X nbr of pieces - what's the price per pound?
*** Purchase X nbr of pieces - what's the price per inch?
*** Purchase X nbr of pieces - what's the price per sq-in?
*** etc etc etc

Of course when you call us and want to purchase 5 - 20 ft pieces of steel
that weigh 900 lbs total at .2045 cents per pound we CANNOT tell the floor
to ship you 900 lbs ... If we did God only knows how many pcs you might
actually receive.

So we have a PO unit of measure, a stocking unit of measure, a sales order
unit of measure, and a INVOICING unit of measure. This way we can buy 5
tons, stock 400 pcs, sell you 20 pcs that are 112.345 inches long, and still
invoice you for $ 0.3452 per lb purchased.

Did I mention that when we ship you and your fellow mfg companies a load of
steel we have to know how much the whole load will weigh because if it's
more then 50,000 lbs per truck the guys in the little blue hats get cranky?

To pull it all together we have they following units scattered through the
system:

* Linear code - 1 = linear, 2 = 2 dimensional ( sq inches etc ), 3 = 3
dimensional ( 3" thick plate )
* Size 1, 2, 3, 4 ( Thickness(dia), width, length, wall thickness)
* Pounds per X ( LC-1 = lbs per running inch ) ( LC-2 = lbs per sq inch ) (
LC-3 = Lbs per cubic inch )

And then we have drops ... It does us NO good to know that we have 15,000
lbs of plate in stock. We need to know how many full sheets and how many
drops we have. On the drops we need to know exactly how big they are and
they are NEVER nice sizes like Vantage wants ( 1/2 sheet, 1/4 sheet ).

The last company I worked for was a true mfg company ( textile machines ).
Our steel department was ALWAYS a mess since they used a single unit of
measure for all raw material. In our case it was inches. Problem was you
never knew whether 240 inches was 1 piece 20 ft long or 10 pcs of misc scrap
that added up to 240 inches none of which was actually long enough to make
what you needed. We frequently found ourselves with no usable raw material
in stock because of this.

If I HAD to pick one unit of measure it would at least be pcs of raw
material required. As in, you need 0.015 pcs of raw material per parent
part.

But no matter who you please on this issue someone is going to get screwed.
Make it LBS across the board and you'll never know how many pcs you have in
stock. Make it PCS and your shop floor operators will have to calculate
inches or pounds. Either way you have not achieved an idiot proof system
....

That sound like our purchasing of liquid nitrogen, purchased
in pounds, delivered in gallons, billed in cubic feet, used in
increments of time. Our solution, "Fill tank when needle hits the magic
marker line, bill us".

and that is to unify your units of measure. Either pounds or square
feet through the whole system. It eliminates any confusion when
discussing issues. In my opinion, it should be what ever works best in

suffer convulsions at the thought of changing from "their" way.

Or, this is one time where I have to disagree.

The company I work for is a steel service center so we get to deal with
raw
material unit of measure issues ALL day long.

Here's a list of the twisted issues we get into:

* We purchase tons of material at a per pound or per hundred weight
price.
How many pc's are involved varies since 20 ft lengths can vary by a bit so
when we receive bundles we have to hand count them to find out how many
pc's
we actually received. ( Can your shop floor min-wage employees count past
10? )

* We also purchase PC's of material at a per pound or per hundred weight
price. Think 14" thick plate 96 x 240 inches. We'll buy 3 pcs and get
billed for whatever they happen to weight. Lot's of trust going on with
this one ...

* Our customers are all over the map. They purchase along the following
lines:

*** Purchase X nbr of pieces - what's the price per pound?
*** Purchase X nbr of pieces - what's the price per inch?
*** Purchase X nbr of pieces - what's the price per sq-in?
*** etc etc etc

Of course when you call us and want to purchase 5 - 20 ft pieces of steel
that weigh 900 lbs total at .2045 cents per pound we CANNOT tell the floor
to ship you 900 lbs ... If we did God only knows how many pcs you might
actually receive.

So we have a PO unit of measure, a stocking unit of measure, a sales
order
unit of measure, and a INVOICING unit of measure. This way we can buy 5
tons, stock 400 pcs, sell you 20 pcs that are 112.345 inches long, and
still
invoice you for $ 0.3452 per lb purchased.

Did I mention that when we ship you and your fellow mfg companies a load
of
steel we have to know how much the whole load will weigh because if it's
more then 50,000 lbs per truck the guys in the little blue hats get
cranky?

To pull it all together we have they following units scattered through the
system:

* Linear code - 1 = linear, 2 = 2 dimensional ( sq inches etc ), 3 = 3
dimensional ( 3" thick plate )
* Size 1, 2, 3, 4 ( Thickness(dia), width, length, wall thickness)
* Pounds per X ( LC-1 = lbs per running inch ) ( LC-2 = lbs per sq inch )
(
LC-3 = Lbs per cubic inch )

And then we have drops ... It does us NO good to know that we have 15,000
lbs of plate in stock. We need to know how many full sheets and how many
drops we have. On the drops we need to know exactly how big they are and
they are NEVER nice sizes like Vantage wants ( 1/2 sheet, 1/4 sheet ).

The last company I worked for was a true mfg company ( textile machines ).
Our steel department was ALWAYS a mess since they used a single unit of
measure for all raw material. In our case it was inches. Problem was you
never knew whether 240 inches was 1 piece 20 ft long or 10 pcs of misc
scrap
that added up to 240 inches none of which was actually long enough to make
what you needed. We frequently found ourselves with no usable raw
material
in stock because of this.

If I HAD to pick one unit of measure it would at least be pcs of raw
material required. As in, you need 0.015 pcs of raw material per parent
part.

First, the responses posted hit almost every "hot button" that we
have. Todd, while we are not as complicated as you (thankfully!), we
face several of the same issues.

We took a long and hard look at converting our current inventory to
sheets/feet and using that throughout the system. It looks like
purchasing could still buy in pounds and Vantage could successfully
make the proper conversions. However, management felt that the burden
placed on engineering (changing all existing BOM's) and estimating is
greater than the cost of coverting sheets/pieces to lbs./feet on the
floor. Also, like Todd, we use "drop" pieces (anything less than a
full sheet), so we would have to create potentially an infinite amount
of part numbers for drop (or keep that in pounds, potentially
confusing our operators).

As mentioned, there is no way to please everyone. For our needs, it
looks like we will move forward with the plan to have the operators
covert the material to pounds and issue to jobs. Fortunately for us,
the number of operators that will do this is relatively small (only
certain workstations (shear/saw) actually consume "raw" material.

I'm guessing that building a application outside of Vantage with a
part factor database will be the most efficient way of doing this.

I am clueless about how to do it, but aren't there those of you making use
of ways to go outside of Vantage and calculate something and then bring that
information back to Vantage? Seems like I remember something about using a
VB Form for such use, but you guys may be using other techniques. Couldn't
one of these methods help out with these shop floor calculations?

If you feel like playing a bit, this could be handled by a .p created to
run from a VBForm. I am not sure, how you would like to implement this,
but I am fairly sure it could be done fairly quickly from "within"
Vantage. To start with, check into the samples Epicor included in the
VBP directory.

First, the responses posted hit almost every "hot button" that we
have. Todd, while we are not as complicated as you (thankfully!), we
face several of the same issues.

We took a long and hard look at converting our current inventory to
sheets/feet and using that throughout the system. It looks like
purchasing could still buy in pounds and Vantage could successfully
make the proper conversions. However, management felt that the burden
placed on engineering (changing all existing BOM's) and estimating is
greater than the cost of coverting sheets/pieces to lbs./feet on the
floor. Also, like Todd, we use "drop" pieces (anything less than a
full sheet), so we would have to create potentially an infinite amount
of part numbers for drop (or keep that in pounds, potentially
confusing our operators).

As mentioned, there is no way to please everyone. For our needs, it
looks like we will move forward with the plan to have the operators
covert the material to pounds and issue to jobs. Fortunately for us,
the number of operators that will do this is relatively small (only
certain workstations (shear/saw) actually consume "raw" material.

I'm guessing that building a application outside of Vantage with a
part factor database will be the most efficient way of doing this.

Our sales rep mentioned that some people have succesfully used a .p
within a VB form to do what we are trying to do. I have no experience
with these, but I'll take a swing at it (and then probably hand it off
it IT to figure out).

Any pointers are appreciated!

I always try to accommodate the outside activity base unit of measure to
first-most minimize the external problem areas. Then I have Vantage do the
conversions as best as it can using factors.

IE, Steel is sold by pounds, so I buy it by pounds. Customers purchase by
units, so I sell by units.

Doesn't eliminate problems, but they tend to be internal, where I can aim
training (or death threats - JUST KIDDING. THIS IS ONLY A SMALL STUPID BIT
OF LEVITY. NO NEED FOR STRONG REACTION/LEGAL ACTION).

Anyway that's my bit of advise.
