Importing new data or doing a mass change

I did a little of both. I recorded certain sections and then pieced together
the macros by calling them from a single macro. I had to play with the timing
a bit. (Recording actually puts in a Wait command equal to the time it took
for you to skip to the next field.) For example, you have to give a little
extra time for fields that are drop down lists, like part class. There is a
WaitWindows function that I haven't tried to incorporate that may work as a
trigger for the next input field.

Kelly,

There is a BOM Import Utility. It will create part table records for
any component in the BOM. You could create a fake BOM with 19000
components.
Be sure to try this in a test database first.

In help take a look at "Engineering Workbench - Get From Import".

I thought version 8 had the ability to import from an excel sheet into
the table. Just had to make sure that the fields were lined up
correctly to the way they were set up on the screen (or something like
that).

Please tell me if I'm wrong?!?!?!?

It does. We tried using that functionality a couple of times during implementation, but it never worked correctly. In some cases, we would receveive errors and the data would never import. Those errors were to be fixed in upcoming versions, I am sure they are fixed by now. In other cases, the data we needed to import had multiple levels, and the import functionality only took care of the highest level. We would have had to have gone back and entered all of the related information manually. It isn't available for everything, just some areas.

We use "Paste Insert" and "Paste Update" all the time throughout the
applications. In some places, it works better than other places (i.e. in
some places, you're better off selecting a smaller number of items to
update/insert from your spreadsheet -- grab tens of rows, vs. hundreds
of rows, etc.)

The general method we use is:

1) Go to a List view that has one or two items already there.
2) "Copy All" from the list view and paste these items into a new Excel
spreadsheet. This is your "template."
3) Add your new rows to this spreadsheet, modeling the new rows off of
the "sample"/"template" rows you created in 2) above. (If you're "Paste
Updating," modify the existing rows as appropriate.)
4) Copy the new/updated rows from the spreadsheet and get back to the
list view in V8.
5) Right-click to select "Paste Update" or "Paste Insert" as
appropriate.

This has been a really great time-saver for us. Again, it's not perfect,
but it DOES work and work well in those places where you can get a list
view of the items you're trying to insert or update. Unfortunately, I do
not think that a list view exists for Parts -- We use ServiceConnect to
get parts in/bulk update parts.

We use "Paste Insert" and "Paste Update" all the time throughout the
applications. In some places, it works better than other places (i.e. in
some places, you're better off selecting a smaller number of items to
update/insert from your spreadsheet -- grab tens of rows, vs. hundreds

but it DOES work and work well in those places where you can get a list
view of the items you're trying to insert or update. Unfortunately, I do
not think that a list view exists for Parts -- We use ServiceConnect to
get parts in/bulk update parts.

Of course Epicor can sell you migration tools/services. There's a run-time
portion to buy, the maps that Epicor creates, and you can optionally get the
tool that creates the maps. (EDI folks should be used to this model...)

Our part import is going to less than that number of parts so it makes it less
attractive financially. Entering a lot of parts by hand is also unattractive
because of time/errors.

Today I am testing a load of 2000 parts with a Windows automation program
called Macro Scheduler. I've created a Vantage user called Migration (so the
window locations remain constant) and the program logs on as that user, reads
records from a text file, and sends the mouse movements, clicks, and fills
fields. I put a pause at the end of every tab to let users make any
corrections. It still takes time but it's less error-prone than entering
everything by hand.

There are several Windows scripting programs out there but this program has
the capability to create an exe of the script, so you can have several people
running the script at the same time.

If you want more information, go to: www.mjtnet.com. (I have no financial
interest in or relationship with this company.) The version that creates exe
files is < $200 (compared to several 1000s for the Epicor tool). You'll still
need to learn their scripting language but at least you're entering things
into the regular interface so there are no data conversion surprises like I've
read on this list.

I'd still use any functionality that comes with Vantage (Get Details | Import;
Paste Insert) but this tool seems to fill the gaps for projects like this.
Just some food for thought.

If you have ODBC enabled and configured on your progress database, you
can use any ODBC client to browse, and make changes to your database
files. This can include doing mass changes to a dataset, or importing
new records, or even deleting / updating records. It would not take a
large amount of time for a programmer to write an application that
would read in an excel or csv file, and import those records into the
database. However, you must use a decent amount of caution when doing
this, since there is no Undo, and you are effectively bypassing all of
the error-checking that was put in place by Epicor – especially when
it comes to duplicate part numbers. If you make a mistake, the
database will be rather unstable until the errors in the data are all
resolved and fixed. We have done a decent amount of this on our own
system, and in the end it has saved us an enormous amount of time in
the form of data entry. Some of the stuff that we have successfully
messed with using ODBC is: accounting, customers, inventory, product
Configurator inputs, product Configurator rules, and some other things
that I cannot think of at the moment. Hope this helps point you in
the right direction.



At the bare minimum, to import a parts list to the database, you would
need the data in some sort of spreadsheet format (Microsoft Excel
works the best), and format / normalize the data so it is in an
identical format to the internal structure of the database. From
there you would need to write an application (or perhaps one exists
from a third party, we wrote ours in-house), that would pull the data
from an excel or csv file, and insert it into the database. At this
point distributing the application we use internally is not a
possibility, since it is in a very "rough" form, since I am the only
one using it, and a lot of the program is tailored to our individual
needs.

We can also say (with a decent amount of confidence) that anything in
the database can be inserted / modified / moved. This includes
transferring the Configurator between test and live databases. Have
tried it, and did it successfully. –Epicor will tell you this is
impossible if you ask them.

portion to buy, the maps that Epicor creates, and you can optionally get the
tool that creates the maps. (EDI folks should be used to this model...)

Our part import is going to less than that number of parts so it makes it less
attractive financially. Entering a lot of parts by hand is also unattractive
because of time/errors.

Today I am testing a load of 2000 parts with a Windows automation program
called Macro Scheduler. I've created a Vantage user called Migration (so the
window locations remain constant) and the program logs on as that user, reads
records from a text file, and sends the mouse movements, clicks, and fills
fields. I put a pause at the end of every tab to let users make any
corrections. It still takes time but it's less error-prone than entering
everything by hand.

There are several Windows scripting programs out there but this program has
the capability to create an exe of the script, so you can have several people
running the script at the same time.

If you want more information, go to: www.mjtnet.com. (I have no financial
interest in or relationship with this company.) The version that creates exe
files is < $200 (compared to several 1000s for the Epicor tool). You'll still
need to learn their scripting language but at least you're entering things
into the regular interface so there are no data conversion surprises like I've
read on this list.

I'd still use any functionality that comes with Vantage (Get Details | Import;
Paste Insert) but this tool seems to fill the gaps for projects like this.
