We use the Procopy utility ... Virginia at Vantage
Technical help desk sent me a write up which explains
the whole thing ... it's quick and easy now ...

When you "copy the live database into the folders on the clone side" are
you coping the entire database into the clone or are you selectively copying
certain parts? If you copy only portions is this done as manual data entry
or do you have a utility to do this?

We have been making changes and testing them in the
clone ... configuration and user options stuff that
pans out we then enter into the Live database ...

In the meantime, we continue to populate the Live database
with static (non-transaction producing) stuff like Customers,
Vendors, Raw Materials, Employees, Parts and Routings, etc.

Every so often we copy the Live database into the folders for
the clone side, reload our sales orders, rerun MRP, rerun the
scheduler, approve a couple of hundred jobs, and go again.

We cut PO's, receive materials, issue materials, run shop orders,
process payroll, the whole enchilada ...

Our General Ledger has settled down as far as account structures,
our financial reports seem to be parsing well, labor records,
inventories, receivables and payables all update appropriately.

So, we're happy ... only fly in the ointment may be when the troops
on the shop floor have to transition from the "Vantage is for practice"
mindset ... although, at the moment, they all seem to have an itch to
make the change ... so, we'll see.

There are a couple of acknowledged bugs in the AMM, and I think MRP is a
bit inelegant, but on balance, so far, Vantage is pretty good stuff ...

I do, by the way, reserve the right to change my opinion as time goes by.

There is no amount of testing that will cover the risks associated with
any new implementation, and of course, after a company has "gone live"
there are manifold troubles to ponder when installing new patches and so
on ... and, in terms of net effectiveness, Vantage is vulnerable to the
vagaries of the performance of non-Epicor products like Citrix and Windows
2000 Server, so ... it should be an interesting next 6 months or so ...

the clone that works do you then update the original or is your clone
evolving into the final "Live" datbase?

began using more and more functions as we were able
to find the time.

There are so many connected transactions within the database
that it will be very difficult to remove entries made in error.
With a cloned copy, you can test all of the various account
assignments and the processing logic embedded within Vantage.

We have gone through several configurations of the General Ledger,
and I can't begin to imagine how we would have done it without the
cloned copy of the database.

We became so reliant on the ease with which we could copy the database
that we went through 18 progressively more complete versions of the
company. We go live on June 22, all across the board, using every module
we have.

It's not such a big step as it might sound though, because we've
learned progressively, tested each small increment of our progress,
and discovered the ways in which Vantage behaves differently from
our expectations.

Can your company build up a clone on the server?

Adjusting General Journal entries is the concept you are looking for, I
believe.
Once an invoice/transaction of any kind is POSTED in Vantage it cannot be
removed. There are adjustments that can be made in both AR/AP to invoices,
a debit or credit memo can be created to REVERSE an entry - or just write a
journal entry. Those are the 3 ways to 'fix' errors.

AR/AP are fine. I don't like the A/P Clearing account (slop account) and a
few other issues. But A/R is wonderful.

Sounds like you have a larger problem in dealing with human
emotions/attitudes than just a software problem though. Good luck! Do you
have a test company set up - mirroring your live data so that he can test a
variety of transactions?

We have been using Vantage for quotes, P.O.s, inventory, A/R & A/P, and
financial statements for over a year (A/P & financials for over 3 years). I
have not yet "gone live" with respect to the live interface inventory or A/P
to the G/L (I will later this summer once we move to 5.1 once I have all of
our default accounts and "Received but Not Invoiced" report cleaned up).
All entries to the G/L are manual or via batch entry (A/P & A/R). If your
CFO want to contact me offlist, I will be happy to explain the details as I
am in the same situation.

While you cannot actually "remove" transactions, your account always has the
ability to make a Journal Entry to correct any errors.

A couple of suggestions to hopefully make this transition go smoother for
you:

1) Keep the inventory interface off initially. This will then allow A/P to
determine the accounts to charge, and correct them when entering an invoice
if needed. If the interface is on, you cannot change the account number at
the A/P stage, as the transaction is generated upon receiving a PO.
2) Use the various inventory reports to book inventory/COGS transactions
through a manual journal entry at month end.
3) Be sure to print both A/P and A/R edit lists BEFORE posting any A/P and
A/R entry groups. Any improper charges can then be corrected before getting
to the G/L.
4) Before turning the inventory interface on, accounting should review the
Inventory/WIP reconciliation report to see what transactions Vantage would
have made if the G/L interface was on. This will allow you to trace errors
and their causes and correct them before turn the interface on.

Using this method, the accounting department maintains complete control of
what G/L accounts get charged. This method should alleviate most of their
concerns, and has worked well for many of our clients.

I understand that there is a fix program from tech support called CVRCPTIV.R
that allows you to mark the uninvoiced receivers (I assume this closes the
open P.O.s). I have not yet attempted it, however, our "Received but Not
Invoiced" report is over 150 pgs., so hopefully it will work when we get
ready to go live with 5.1.

Hi Mark,

We have been making changes and testing them in the
clone ... configuration and user options stuff that
pans out we then enter into the Live database ...

In the meantime, we continue to populate the Live database
with static (non-transaction producing) stuff like Customers,
Vendors, Raw Materials, Employees, Parts and Routings, etc.

Every so often we copy the Live database into the folders for
the clone side, reload our sales orders, rerun MRP, rerun the
scheduler, approve a couple of hundred jobs, and go again.

We cut PO's, receive materials, issue materials, run shop orders,
process payroll, the whole enchilada ...

Our General Ledger has settled down as far as account structures,
our financial reports seem to be parsing well, labor records,
inventories, receivables and payables all update appropriately.

So, we're happy ... only fly in the ointment may be when the troops
on the shop floor have to transition from the "Vantage is for practice"
mindset ... although, at the moment, they all seem to have an itch to
make the change ... so, we'll see.

There are a couple of acknowledged bugs in the AMM, and I think MRP is a
bit inelegant, but on balance, so far, Vantage is pretty good stuff ...

I do, by the way, reserve the right to change my opinion as time goes by.

There is no amount of testing that will cover the risks associated with
any new implementation, and of course, after a company has "gone live"
there are manifold troubles to ponder when installing new patches and so
on ... and, in terms of net effectiveness, Vantage is vulnerable to the
vagaries of the performance of non-Epicor products like Citrix and Windows
2000 Server, so ... it should be an interesting next 6 months or so ...

cloned copy of the database.

that we went through 18 progressively more complete versions of the

inventory, or AR/AP. Our CFO does not want to enter financial data and then
find out we are doing it wrong. It's a catch 22, we need to start using
these functions to learn what works and what does not. The question I have
is if we start using "ALL" the modules and we find we have made error's in
financial data, is there away to remove financial transactions? I am not a
bean counter but I believe that you can make adjustments to correct error's.
Has anyone else delt with this?

When you "copy the live database into the folders on the clone side" are
you coping the entire database into the clone or are you selectively copying
certain parts? If you copy only portions is this done as manual data entry
or do you have a utility to do this?
