Electronic Invoices

RightFax may be a solution for you. We are going to try it as soon as
the dust settles on our "go-live 2/1". (unless we hear of a better
solution on this board)

yes we considered it. No there is no way to do it in Vantage, that I
know
about unless on newer releases. We had talked to the now
out-of-business
Ceasar Development and they had a 3rd party program that would do this.
Sorry I couldn't help more.

I have been approached by management to provide feedback on the
feasibility of submitting invoices to our customers via fax as opposed
to US Mail. The questions I have are:

Has anyone else ever considered this?
Is anyone doing this?
Is it possible to print to a fax device and have the fax number picked
up from Vantage?
Any legal implications?

Any comments would be greatly appreciated.

Thanks

I email invoices and fax them. I use PDF Factory for email, and Zetafax
for faxing. As soon as I invoice, I do it right from the batch before I
post. Yes, it is done individually and can become a little time
consuming on a big day, but I have decided that overall I still prefer
to do it this way, as I don't have to stuff envelopes and my customers
get them right away.

I believe this functionality is part of the Advanced Printing Module
available in V8. You might want to look into that.

We fax about 25% of our invoices (some customers will not accept them) and
95% of our Purchase Orders using Zetafax. I do not know of any way to pick
up the fax # automatically, but with Zetafax it saves any previous numbers
you have used so it is pretty fast to pick the "to" from a list. We also
email some using Software602 PrintPack which is also mostly painless in
picking your "to" from a list of priors.

What do you call a "big day"? I just created a quick and dirty report to
determine our average invoices per day. Since June of 2004 we have been
producing an average of 73 invoices a day. We too have PDF Factory, but
I would guess that 70 a day probably falls beyond a number that is
practical. How many do you typically do a day and how much time does it
take...best guess?

Thanks

Well we are not a very big company. And mind you, some customers require
hard copies still. On an average day, we are probably talking 15-20
invoices, on a big day probably 35 max. On an average, probably 60-75%
of those are sent electronically.
Usually it takes me no more than a half an hour to electronically send
the invoices out (at the longest), sometimes as little as 10 minutes.
The limitation being that you can only do one at a time.

It definitely would be nice to have a better solution for these as yes,
it can become tedious and time consuming.

We also email sales order acknowledgements for all orders, as well as
email or fax 95% of purchase orders. All quotes are either emailed or
faxed from Vantage as well.
All in all I think both programs have become convenience tools for our
company.

Does anyone know if they have, in fact, implemented something of the
sort for 8.0? I am currently running 6.1

Todd et al,

Kevin Rosell from Epicor did a demo of this functionality in Vantage 8.0
at the last VMUG meeting. The Advanced Printing module functions using
a software with optical character recognition and extracts the "TO"
information from preset overlays applied against the outputed document.
This should work with any version of Vantage.

Kevin is visiting again at this Friday's meeting. I'll try and get
everyone an update then.

HTH,
Calvin

Thanks for your feedback. I appreciate it. Thanks to everyone else who
replied as well.

Thanks
