Customer Setup in Epicor 9.05.702

We have just a few customer "gatekeepers" in the system, with other sales personnel needing to contact a gatekeeper to get a customer added.  Not the nicest workflow, but certainly the only thing that prevents us from having 20 or more versions of the same customer!

Also, we have a customer dashboard and then train gatekeepers to lookup same city, state first, then determine if customer already exists there and review from that vantage point.  This helps deal with when acronyms or other typo info could make a customer name match to determine duplicate problematic.  It also provides feedback for when to do a name change for a customer.

Currently one sales person can setup a customer in Epicor.  Another sales person can setup the same customer,
but with a different customer ID.  Epicor
does not say that this is a possible duplicate customer.  Is there a setting that we can change that
would say this might be a duplicate or can this be done with a BPM.

I don’t think there are default options for it.

You need to use something that is completely unique and can’t be entered without any variation in order to make the comparison.

You could probably do it if you setup a new required UD field and have the field for a nine digit Tax ID number for every customer you have, assuming they are all companies. If you are selling to individuals instead of companies, then you could possibly use phone number.

Seems like this is a discipline and procedural problem.

You cannot enter a duplicate ID in Epicor – that is true.

It seems that the sales people need to do a better search on the customer before adding a  new customer.

I don’t know what fields you can base a duplicate upon – people may enter a name or address in  a different way.

Maybe coming up with a standard naming convention for ID, Names and addresses would work.
