Correcting Time Entries

Charlie –

You could make a BPM that if they have an Active labor transaction with a prior date value for the ClockInDate and they are not on your 3rd shift, throw an exception and stop them from starting a job.

Thanks Manasa - we've shown our members that, but sometimes they forget or it doesn't register with them.

We are running Epicor 10. Our employees use MES to clock in/out and to log on/off jobs.

More than occasionally, employees will forget to clock out of Epicor at the end of the day.  The next day when they come in, if they don't realize their mistake, they will just log into a job (since they are already clocked in) and go on.  At the end of the day, they clock out.

This leaves me with two days of multiple job entries on one payroll date.  I have not found a simple way of splitting this into two separate payroll dates without deleting all the entries from 1 date and re-entering them on a new date.

Has anyone else had this problem and/or know of an easy solution?

You can try to go crazy with automation to make sure the employees clock out - but then there are always exceptions (approved overtime, forgot to log out and clock out, etc.)

I'm a big fan of giving the supervisors the "Shop Tracker" and making it their responsibility to verify active resources / who is here at the end of the day (beginning of the day too, to make sure people are clocked into the jobs they are working on).  The supervisors can remind employees of the proper processes and you save yourself a customization to test during future upgrades.

Charlie,

There is a way to show your employees when they are still clocked in…it’s when they first login that they do not get the shift screen to validate the right shift they normally work.  Train them to see that then you won’t run into this issue.  I agree with Jennifer, this is a screen you do not want to customize but instead make sure the company has a good policy regarding these issues.

We are still struggling with this same issue in 9.05.702A. Accurate labor reporting is critical! It is the leads / managers responsibility to make sure everyone has ended activity and clocked out at the end of the shift. It is also the leads / managers responsibility to generate time cards to enable any corrections to be made in T&E. We haven’t implemented the policy that the leads / managers are responsible to make the time entry corrections…. yet. We went through a period where we ran and broadcast the Who’s Here report several hours after the end of each shift – twice a day for several months.

We do not have Epicor payroll. We created a dashboard that can be run by the Supervisor / Manager / or for all Plants, to quickly determine the total # of hours worked by each employee for the day to make sure everyone is scanning time – direct or indirect. We weekly drop info from the Payroll System to compare the # of hours Paid vs. the number of hours scanned. Tedious but in our minds critical.

We have had employees and their leads written up for constant repeat offenders.

Persistence is resulting in Progress.
