Back Log & Inventory Reports

I'm still on Ver 3.00.362, but I was asked a question on a report needed by
our production manager. Does anybody have a report or know of an easy way to
report the numbers from the back log report and the on hand quantity. Any
suggestions -- Thanks in advance.

I am on Ver 4.00 (soon to go to 5.**) and one of the reasons I haven't
gone just yet is the report that the Mtls Mgr made for our backlog took
him so long to create he isn't ready to create another in a new version.
I can share the one I have if needed, but it does bring up a good point
of wondering what everyone else out there does for this sort of report.
I know that we all can't be the 'ideal' company and nobody has
backordered material. Any information would be helpful.

Senario:
When we implimented Vantage in 1996 we started the primary modules.
Sales Management
Production Management
Job management
Visual Scheduling
Advanced BOM
Scheduling
Materials Management
Inventory Management
Shipping and Receiving
Purchasing
Financial Management
AP
AR
General ledger

We have other modules but those above are what matters. Since we've
implimented, we've purchased and received, paid bills, shipped materials etc
etc. Job management, Visual Scheduling and Inventory Management never came
on line. So we've been receiving into inventory without relieving, and
shipping without adding to inventory. In essence we've been running both
ends without the middle. We have a new kid on the block that is going to
force this issue. We are going to correct the inventory numbers and bring
up Job Management, Visual Scheduling etc.
I havent gotten a decent answer as to what the impact to the GL will
be when we make these inventory corrections. Any thoughts to will be
appreciated.

But has it been interfaced to the General Ledger? (Company Config, general
ledger/check box for interface with inventory) or how has COS or CGS
information been tracked? Was your accountant writing journal entries every
month or were the entries made from the inventory module?

These types of answers are needed to avoid giving voodoo answers. (actually
giving worse than useless answers)

Well Shirley I'll take a stab at it. It wasn't clear but I am assuming
you have been expensing all material and keeping some sort of inventory
sub-system at standard cost? If that is the case and you are going to
stay on standard cost the impact is nil. If you had some other system
or no system (gasp!) for calculating and 'booking' the monthly inventory
changes the impact could be larger but most likely no more than any
individual month's profit distortion in the past.

Did Epicor do your implementation, and did they know and agree with the
decision to use the program in this fashion?

Anyway, I would recommend that you keep the interface to GL off initially
and get the other modules up and running. Then monitor the Inventory/WIP
reconciliation report for several months to understand what you will see
when (if) you decide to turn the interface on.

It is as Matt assumed and recommended (tracking the Vantage inventory data
for a period of time before making changes -especially before marking the
check box for interface inventory to G/L, is sound, cautious accounting
advice).....

You have an opportunity to get some good physical inventory counts, adjust
quantities accordingly, get good data from your manual systems, making the
manual G/L adjusting entries as needed, pick a Vantage start up date (decide
when you want to make G/L entries from Vantage and if you want to flip that
interface check box) and go from there....
Once you check the interface to G/L check box, Epicor warned us to NEVER go
back and un-check it(Untold horrors they promised us at the controller's
workshop).

I also agree that the Controller's workshop is VERY beneficial.

Obviously you are made of tougher stuff than all those bean counters who
have been your roomies....or you are not confessing to the forms of torture
you have subjected them to..... :)

I hope this is the type of info you were looking for and that I'm not
barking up the wrong tree......

Here's a URL to a file I uploaded to the yahoo page. It's information I
got from an Epicor consultant, and later massaged into a single
spreadsheet. It details the logic flow that Vantage uses to assign GL
numbers to different transactions when the GL interfaces are turned on:

You'll probably want to look into setting up Product Groups and Part
Classes as your main controls. After configuring / reviewing those in your
system, run reports to look for parts that are missing either code or that
have a specific GL#. Also customers and sales orders missing product groups.

I no longer have a copy, but there is a good Epicor document on GL issues
at startup / implementation time that would probably help you. It details
how to bring in existing GL account balances, and coordinate them with
transaction entry and turning on the GL interfaces.
